5D Gryphon Real Estate is a property company based at 21 Knightsbridge, managing a portfolio of prime central London residential property on behalf of private landlords. The role
We are looking for a Property and Operations Manager to manage a mixed portfolio spanning long-term lettings, occasional HMO and short-let units, and light block oversight. You will be the named point of contact for landlords, tenants, estate agents, contractors and concierge teams, and you will run the tenancy lifecycle end to end.
Key responsibilities
Lettings and Tenancy Lifecycle Market properties across OpenRent and estate agency partners, managing listings, enquiries, applicant qualification and viewings. Arrange professional photography and maintain agency relationships. Negotiate rental offers, agree terms and obtain landlord approval. Prepare and issue tenancy documentation - agreements, renewals, variations and statutory notices - coordinated via DocuSign. Manage applicant referencing, affordability assessment and landlord approvals. Run move-ins and move-outs, including inventory reports, deposit registration, releases and dispute handling. Manage utility accounts and meter readings; arrange remedial works before new tenancies. Advise landlords on pricing, renewals and rent reviews. Ensure all pre-tenancy compliance is completed on time.
Ongoing Property Management Manage renewal of all statutory compliance certificates across the portfolio, including EPC, EICR, PAT and Gas Safety. Coordinate maintenance and repair works - instructing contractors, monitoring progress, signing off work and processing invoices in Xero. Control repair and maintenance budgets - challenge unnecessary works, negotiate contractor pricing and obtain landlord approval where required. Handle property insurance matters, including claims and renewals. Act as main point of contact for tenant issues, complaints and emergencies; oversee contractor performance before approving payment.
HMO, Short-Let and Block Management Manage HMO licensing renewals and compliance; oversee short-let units including the 90-day rule where applicable. Support block management tasks - liaising with managing agents, reviewing service charge invoices and coordinating communal works.
Client and Office Support Act as main point of contact for landlords, applicants and concierge teams. Conduct introductory calls or meetings with prospective clients. Maintain accurate records across the CRM and internal systems; handle incoming calls and general enquiries professionally.
What we are looking for
Essential Minimum three to five years of residential property management experience in London, ideally with exposure to prime or Prime Central London stock Strong working knowledge of the AST lifecycle, deposit schemes, statutory compliance (EPC, EICR, Gas Safety, PAT) and UK lettings legislation Confident negotiator, highly organised and a multitasker Strong commercial acumen and quick learner Knowledge of Xero, DocuSign, OpenRent, CRM systems and standard property management software Strong written and spoken English
Desirable Some exposure to HMO licensing, short-let compliance or block management Russian language skills ARLA Propertymark qualification or working towards it Full UK driving licence
