Merton College – Academic Officer
Merton College – a vibrant and diverse community and one of the oldest and most beautiful colleges in Oxford – is seeking an enthusiastic and organised Academic Officer to contribute to the smooth functioning of the College’s academic administration.
Key Responsibilities
- Acting as the first point of contact for enquiries to the Academic Office and dealing with Fellows, students, staff, and external enquirers in person, on the telephone, in writing or by email.
- Supporting the enrolment of new and returning students by participating in the College’s annual registration processes (e.g., updating student records systems and carrying out student visa checks).
- Recruiting and arranging payments for Graduate Teaching Assistants and Graduate Mentors.
- Coordinating the timetabling and administration of termly Warden’s Collections (undergraduate academic progress meetings).
- Maintaining the College’s tutorial reporting database, including setting up tutor profiles, processing tuition payments, providing support to academic users, and producing reports on teaching arrangements.
- Administering the vacation residence application and approval process each term.
- Contributing to the broader administrative functions of the Academic Office, e.g. assisting with filing, meetings and calendar management.
- Updating Academic Office content on the College website and compiling a weekly student newsletter.
- Providing administrative support to the Deputy Academic Registrar and Admissions Manager in the College’s admissions process for undergraduate and postgraduate students, including preparing correspondence and timetabling interviews.
- Assisting the HR team with administrative arrangements for academic appointments.

Skills and Experience
- Excellent written and oral communication skills.
- Highly organised, accurate and able to manage competing priorities.
- Able to deal confidently and appropriately, using tact and discretion, with a wide variety of people.
- Comfortable learning new systems and processes.
- Understanding of the importance of compliance, data protection and other regulatory requirements.
- Excellent administrative skills.
- IT-literate, with strong IT skills appropriate to a Windows-based office.
- Able to work both independently and as part of a small, collaborative team.
- Previous experience in higher education (desirable).

Salary and Hours
- Salary: £28,000 – £33,500 per annum, dependent on skills and experience.
- Hours: 35 hours per week, normally between 9am and 5pm, Monday to Friday, with an unpaid one-hour lunch break.
