About the organisation:

SRUC (Scotland’s Rural College) is a specialist higher education institution delivering tertiary education, research and consultancy. SRUC’s principal purpose is to advance education, science, research, and environmental protection and improvement in rural and land-based industries, both domestically and internationally.

About the team:

This role is based in the Academic Registry team providing services across all campuses.

The location for this role may be flexible and consideration will be given to any SRUC Campus location.

There is a degree of flexibility with the working pattern for this role which can be discussed at interview.

About the opportunity:

The purpose of this post is to work as part of a team to provide administrative support to the Academic Records Lead, Data Officers and Fees & Funding Officer, to help ensure effective and efficient systems, processes and procedures are in place, and implemented, within SRUC’s academic records and student funding function.

Academic Records Administrators are expected to support the Academic Records Lead, and Data Officers and assist when required the Fees & Funding Officer, by providing high quality administrative support, as delegated to each post-holder, in areas which may include but not are not limited to:

  • Application and admissions support
  • Academic records management
  • Student fees and funding processing
  • Other key duties including:
    • Providing timely management reports as and when required.
    • Assist with graduation preparation and processing.
    • Fielding queries (e.g. from staff and students) in relation to the above, dealing with these or directing to other staff as appropriate.
    • Managing correspondence efficiently/effectively.
    • Involvement in preparing for and undertaking audits by external bodies.
    • Maintaining records and databases of activities relevant to the team.
    • Ordering/receipt any goods & services for the team, invoicing external clients where applicable
    • Arranging and supporting meetings.
    • Attending open days, if and when required e.g. to provide fees and funding information for prospective students.
    • Assisting with review, development and implementation of admin procedures and processes.
    • Representing more senior colleagues within the academic records, admissions and student fees/funding function, as and when required.

This is a part time role of 21 hours per week.

Minimum qualifications:

The ideal candidate will be qualified to at least Educated to SCQF Level 7 (e.g. HNC level) or above or equivalent experience in a related role).

Experience and knowledge required:

  • Demonstrable experience of working within a varied administrative role and competently carrying out a range of administrative duties (including high volume data input
  • Experience of administration of process-driven work-flows
  • Experience of providing an effective service to customers and other internal and external stakeholders
  • Some knowledge of FE and/or HE in Scotland
  • Good knowledge of IT software, particularly Microsoft Office and MIS databases

It would beneficial if you already possess the following experience:

  • Experience of working with HESA or at least Higher Education Statistics
  • Experience of using computer-based student records systems, and financial business systems (e.g. for invoicing and/or credit control)
  • Experience of student admissions and/or student fees/funding.

This role is not eligible for sponsorship under the Skilled Worker route. If you are a migrant worker, you will need to ensure you have an appropriate visa to evidence the necessary right to work in the UK.
