Role purpose
The Accommodation Coordinator supports the procurement, coordination and delivery of accommodation (hotels, motels and campsites) and meetings and events services across a diverse portfolio of events and projects. The role ensures the efficient management of bookings, supplier relationships and operational delivery to provide a seamless experience for clients and participants.

Operational - Key Tasks
- Coordinate accommodation and meetings & events products, managing hotel contracts, allocations, supplier agreements, payments and inventory.
- Lead camping village inventory management, allocating bookings and acting as the primary contact for accommodation-related campsite queries.
- Negotiate competitive rates and terms with suppliers, benchmark products and support sourcing decisions.
- Manage supplier contracts, accommodation capacity and booking amendments, cancellations and payments in line with budgets and product strategy.
- Maintain strong relationships with suppliers and internal stakeholders, providing excellent customer service and resolving queries efficiently.
- Process bookings, maintain accurate records and databases, and utilise internal systems to support operational delivery.
- Produce rooming lists, service reports and management information as required.
- Support compliance with health, safety and quality standards, including audits, site inspections and familiarisation visits where required.
- Coordinate staff travel arrangements and provide event or tour support when required.
- Assist with general administrative duties, incoming enquiries and other responsibilities as required.

Skills And Experience
- Experience in accommodation, hospitality or campsite operations; sports travel experience is advantageous but not essential.
- Strong organisational, prioritisation and time management skills, with the ability to meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a customer-focused approach.
- Experience managing budgets and understanding commercial considerations.
- Proficient in Microsoft Office applications, including Word, Outlook, Excel and PowerPoint.
- Highly organised, detail-oriented and proactive, with the ability to work independently and use initiative.
- Strong interpersonal skills with a proven ability to build effective relationships with colleagues and suppliers.
- Analytical and logical thinker with strong problem-solving capabilities and a flexible, adaptable approach.
