Job Title: Account Executive

Reporting into: Account Manager

Hours: 40 hrs per week

Location: London – minimum 3 days per week in our Liverpool Street office, with travel to event and activation locations across the UK as required

Salary band: £30,784 (London living wage) - £35,000

Holiday: 20 days per year plus bank holidays, one company enrichment day and your birthday

Job Description

Highjam is looking for an enthusiastic, highly organised and proactive Account Executive to join our growing client services team.

This is an exciting opportunity to build a career within experiential marketing, working across a varied portfolio of clients and campaigns including brand activations, sampling campaigns, field marketing, retail activity, events, pop-ups and roadshows.

Working closely with Account Managers, Senior Account Managers and Account Directors, you will support the planning and delivery of campaigns from initial brief through to live activity, reporting and final evaluation.

You will be involved in all areas of campaign delivery including project planning, client communication, promotional staffing, logistics, stock, venues, suppliers, reporting and finance.

This is a hands-on role in a fast-moving independent agency. We are looking for someone who is extremely organised, takes pride in getting things right, communicates well and is happy to get stuck in.

You do not need to know everything from day one. What is important is that you are curious, willing to learn, take ownership of your responsibilities and can be relied upon to follow tasks through to completion.

The role in more detail…

Campaign & Project Support

  • Support Account Managers and Account Directors with the planning and delivery of experiential marketing campaigns.
  • Assist with projects from initial brief through to live delivery and final reporting.
  • Help create and maintain project plans, critical timepaths and campaign trackers.
  • Keep project documentation accurate and up to date.
  • Track project actions and deadlines and ensure agreed tasks are completed on time.
  • Support the coordination of staffing, logistics, production, venues, stock and campaign materials.
  • Liaise with internal departments to ensure campaign requirements are clearly communicated.
  • Assist with preparing campaign briefing documents and operational information.
  • Support the production of run sheets, schedules and campaign documents.
  • Attend campaign meetings and record clear actions and responsibilities.
  • Follow up outstanding actions with internal teams and suppliers.
  • Flag potential problems, delays or missing information promptly.
  • Attend live events and activations when required.
  • Provide hands-on support during campaign set-up, delivery and breakdown where necessary.

Client Support

  • Support Account Managers and Account Directors with day-to-day client communication.
  • Respond professionally and promptly to client emails and requests.
  • Attend client meetings and status calls.
  • Take accurate meeting notes and circulate actions when required.
  • Prepare information, updates and documents for client meetings.
  • Ensure client requests and feedback are communicated to the relevant internal teams.
  • Build positive and professional relationships with clients.
  • Develop an understanding of clients' businesses, brands and campaign objectives.
  • Ensure information provided to clients is accurate and has been appropriately checked.
  • Escalate client concerns or issues to the relevant senior team member.

Staffing & Field Teams

  • Work closely with the Staffing team to support campaign staffing requirements.
  • Provide clear campaign information and requirements to the Staffing team.
  • Assist with preparing staff briefing documents and training materials.
  • Help organise staff briefings and training sessions.
  • Ensure promotional staff receive the information they need before activity.
  • Support the management of staff schedules, locations and campaign requirements.
  • Check field reporting is being completed correctly and on time.
  • Follow up missing or incomplete reporting where required.
  • Help monitor live campaign activity and escalate issues quickly.
  • Support the project team with resolving staffing or field issues.

Logistics & Campaign Materials

  • Work closely with the Logistics & Operations team to coordinate campaign requirements.
  • Help manage stock, POS, uniforms, equipment and promotional materials.
  • Assist with stock allocation and campaign packing requirements.
  • Track deliveries and collections.
  • Help ensure materials arrive at the correct location and at the correct time.
  • Maintain accurate stock and campaign records.
  • Assist with arranging couriers, transport, accommodation and travel when required.
  • Flag missing stock, equipment or materials immediately.
  • Help coordinate campaign returns and stock reconciliation following activity.

Reporting & Data

  • Support the collection and checking of campaign data.
  • Ensure field teams complete required reporting.
  • Review reporting for missing, duplicate or inaccurate information.
  • Maintain campaign trackers and reporting spreadsheets.
  • Help prepare client campaign reports and presentations.
  • Collate photographs, feedback, results and campaign insights.
  • Check reports carefully before they are circulated.
  • Assist with analysing campaign results against agreed KPIs.
  • Identify useful trends, feedback or observations from campaign data.
  • Support the preparation of final campaign debriefs and evaluations.

Finance & Administration

  • Support Account Managers with campaign budgets and financial administration.
  • Obtain supplier quotations.
  • Raise purchase orders where required.
  • Process and track supplier invoices.
  • Maintain accurate campaign cost trackers.
  • Ensure expenditure is correctly recorded against campaigns.
  • Flag unexpected costs or discrepancies immediately.
  • Help reconcile campaigns following completion.
  • Support client invoicing processes.
  • Keep project files and documentation organised and accessible.
  • Use internal finance, CRM, staffing and reporting systems accurately.

Suppliers & Venues

  • Contact suppliers and venues to obtain information and quotations.
  • Assist with booking venues, equipment and campaign services.
  • Maintain clear written records of supplier agreements and requirements.
  • Communicate campaign timings and requirements accurately.
  • Follow up suppliers to ensure deadlines are met.
  • Check deliveries and services against agreed requirements.
  • Escalate supplier issues promptly.
  • Build positive working relationships with Highjam's suppliers and partners.

Previous agency, marketing or events experience is useful but not essential for the right candidate.
