About the role

As the Project Executive you will work on high profile accounts which require excellent communication skills in both German and English. You will administer a number of projects, whilst learning about the company’s processes and clients. You will initially support senior members of the team with administration responsibilities, and in time will run your own projects as you develop your knowledge and experience.

About you

  • To have at least 2 years’ strong administration experience
  • To have at least A Level/professional standard in speaking/writing German
  • To have project management experience in the creative/branding industry is advantageous
  • Advanced in Excel and managing spreadsheets is essential
  • You will have experience in other MS Office packages (Outlook/Word)
  • You will be able to balance and own your own workload
  • You will be flexible and able to coordinate multiple projects in a fast-paced environment
  • Conscientious, reliable, good attendance and timekeeping standards
  • Excellent attention to detail and works with precision
  • Effective project manager, able to manage workload
  • Honest, trustworthy, and able to work unsupervised
  • Demonstrates initiative, is creative and contributes ideas
  • Pragmatic approach to problem solving without cutting corners
  • Friendly, approachable, respectful and a positive team player
  • Flexible, adaptable, calm whilst working under pressure
  • Professional with excellent communication skills
  • Proactive, takes ownership of daily tasks with a can-do attitude
  • Must be able to work flexibly to meet the needs of the business

The day to day

  • To support a Senior Account/Project Manager and/or the Account Director with projects and in time coordinate and run your own projects from concept to delivery.
  • To own and coordinate the entire projects (with guidance and supervision from the Account Director) from taking the initial brief from the client to obtaining approval from the QC team to release the project to the client, working closely with the internal Design and Artwork teams to facilitate the production of packaging for our clients.
  • Responsible for ensuring projects are completed to the highest standard and to deadline and to highlight to the Account Director should this not be the case.
  • To communicate with clients professionally, and help build client relationships to inspire trust and confidence in the Company.
  • Maintain excellent standards of spoken and written communication in German and English.
  • To effectively communicate client briefs to the Design and Artwork departments to ensure work is produced to client specification first time.
  • To liaise with the Studio Manager, Design and Artwork departments, giving adequate notice for jobs to be scheduled for production.
  • Analyse, understand, and clarify client briefings, obtaining support from senior members of the team when required.
  • Write briefings for internal design, photoshoot and digital artwork projects.
  • Brief the design or artwork team on individual projects.
  • Effectively manage the timing and execution of the internal design and artwork process.
  • Organise photoshoots, get quotations, book photographers and home economists, organise/source product samples, write photo briefings etc.
  • Proof read your designs.
  • Ensure that your projects comply with all current client design and artwork guidelines.
  • Keep full track of all your live projects and be able to give a full account of the status of each project at any given time.
  • Manage client expectations and make sure that all deadlines are met.
  • Assist with responsibility for budgets of all projects.
  • Accountable to ensure all projects are invoiced promptly and within company timelines.
  • To assist other members of the Client Services Department as required.
