About the Role
We're a 100% employee owned web, brand design and digital marketing agency seeking an organised and enthusiastic Accounts and Office Manager to join our team.
Location: Cardiff (hybrid working environment, some office presence required).
Hours: 20-24 hours per week (flexible working patterns considered, e.g., 3 full days or spread across 4–5 days to suit other commitments).
Salary: £15,000–£20,400 per annum (equivalent to £30,000–£34,000 full-time).
This is a varied role combining accounts administration, client billing, office management and general business support. The successful candidate will work closely with the Managing Director and alongside the Management Team and will play a key role in ensuring the smooth day-to-day running of the business.
Key Responsibilities
- Client invoicing and billing.
- Reconciling payments using Xero.
- Monitoring outstanding invoices and issuing payment reminders.
- Maintaining billing records and recurring client charges.
- Liaising with accountants regarding payroll, VAT and financial administration.
- Liaising with team on month-end processes (recurring projects, time tracking and invoicing).
- Managing office suppliers, utilities and service contracts.
- Coordinating office maintenance, compliance and insurance renewals.
- Supporting project managers with time-tracking reporting and project budget administration (using Harvest and Asana).
- General office administration and business support, identifying opportunities to streamline internal systems and financial administrative processes.

Skills and Experience
- Previous administration, accounts or bookkeeping experience is essential including invoicing, reconciliations and credit control.
- Experience using Xero.
- Strong organisational skills and attention to detail.
- Excellent communication skills.
- Ability to work independently (with support) and manage multiple priorities while collaborating with the wider team.
- Familiarity with Google Workspace tools (Sheets, Docs etc) an advantage but training can be provided.
- Other tools we use include: Asana, Harvest and BrightPay - experience with any/all of these will be an advantage but training and support will be provided.
