Job title: Accounts Assistant
Location: Head Office, Waltham Abbey
Role Overview
The Accounts Assistant supports the accounts team in ensuring timely and accurate processing of supplier and subcontractor invoices and payments. The role ensures adherence to financial procedures, accounting standards, and statutory requirements such as CIS and VAT, maintaining professionalism in all interactions.
General Responsibilities
- Ensure compliance with Hill Group Health & Safety policy and procedures.
- Deliver work to a high professional standard and follow established accounting processes.
- Collaborate with other departments (e.g. Commercial, Buying) to obtain required information.
- Respond to internal and external queries in a courteous and professional manner.
- Input and maintain data in spreadsheets and accounting systems including Integrity Mardak.
- Ensure that all invoice queries are resolved within 7 days.
- Adhere to all procedures to protect the Group from financial irregularities.
- Work effectively as part of the accounts team.
- Foster positive working relationships with colleagues across departments.
- Communicate effectively and maintain a collaborative team environment.

- Input supplier and subcontractor invoices into the accounting system accurately and promptly.
- Match invoices to delivery notes and purchase orders, resolving any discrepancies.
- Process subcontractor applications and payments within agreed timescales, in accordance with CIS regulations.
- Reconcile supplier statements and resolve invoice queries.
- Ensure all supplier invoices are registered and approved according to internal controls.
- Prepare and process payment runs in accordance with financial procedures.
- Maintain up-to-date and accurate records of all financial transactions and filing within 3 days of processing.
- Manage subcontractor payment records and ensure timely allocation of cash and reconciliation.
