Job Description: Accounts Assistant

Due to continued growth and success, Total Security are on the lookout for a new Accounts Assistant to expand the team.

Total Security is a multi award-winning Antivirus and Security company, based in Fareham, Hampshire. We pride ourselves in advanced online protection and offer a wide range of security tools and applications to keep our users safe online.

We have developed a suite of features and applications, including TotalAV, Scanguard and PC Protect which protect our users from malicious online attacks when using any of their devices. In a world where digital security is constantly being challenged, we work to protect users against the latest & greatest threats.

Job Purpose

The Accounts Assistant will provide day-to-day support to the finance team, ensuring financial transactions are processed accurately and in a timely manner. This role will allow you to develop core accounting skills, including bookkeeping, invoice processing, payments, VAT support, and audit assistance.

The role is suitable for someone studying towards an accounting qualification (Level 3 AAT), or with experience in a finance environment.

Key Responsibilities

Purchase Ledger & Invoice Processing

  • Process supplier invoices accurately and promptly
  • Code invoices correctly within the accounting system
  • Assist in resolving invoice discrepancies and queries to ensure prompt approvals

  • Raise sales invoices where required
  • Support credit control activities, including following up overdue payments

Day-to-Day Bookkeeping

  • Prepare routine journals
  • Assist with bank and credit card reconciliations
  • Maintain accurate and up-to-date accounting records
  • Ensure transactions are correctly coded
  • Support month-end processes by preparing basic reconciliations

Payments

  • Assist in preparing supplier payment runs
  • Ensure payment approvals are obtained in line with company procedures
  • Maintain payment records and filing

VAT Support (UK & International Exposure)

  • Assist in preparing data for UK and International VAT returns
  • Support the review of VAT coding on sales and purchase invoices
  • Maintain VAT documentation and supporting schedules

Audit Support

  • Help prepare audit schedules and supporting documentation
  • Gather documents requested by auditors
  • Respond to straightforward audit queries
  • Maintain organised records to support audit trails

General Finance Administration

  • Maintain accurate filing (digital and physical)
  • Support the finance team with ad hoc tasks
  • Assist with expense processing and policy compliance
  • Contribute to process improvements where appropriate

Skills & Experience

Essential

  • Basic understanding of bookkeeping principles
  • Strong numerical accuracy and attention to detail
  • Good organisational skills
  • Basic to intermediate Excel skills
  • Willingness to learn and develop within a finance role

Desirable

  • Studying towards or interested in studying AAT (Level 3)
  • Previous administrative or finance experience
  • Experience using Xero

Training & Development

  • Receive on-the-job training in bookkeeping and finance processes
  • Gain practical exposure to VAT processes (UK and international)
  • Develop understanding of month-end procedures
  • Be supported in studying towards AAT qualifications (where applicable)

  • Gradually take on increased responsibility as experience grows

  • Salary: £28,000 - £30,000 DOE + up to 10% annual bonus scheme
