About Eleos Services Ltd
Eleos Services Ltd provides accounting, self-billing and contractor payment administration services, primarily for transport logistics companies and self-employed Delivery Associates.
Our current client base includes self-employed delivery drivers working with transport logistics companies. Eleos supports these clients with weekly self-billing/payment administration and offers additional accountancy services such as VAT registration, VAT return management, Flat Rate VAT support, Self-Assessment registration, Self-Assessment tax returns, bookkeeping and related HMRC compliance support.
We are now looking for an Accounts Assistant - Client Services to join our small team and support our in-house accountant with client onboarding, accounting administration and client communication.
About the role
This is a client-facing accounts support role. You will help onboard new Delivery Associate clients, support the accounts team with VAT, Self-Assessment and bookkeeping administration, and speak with existing clients about optional accountancy services that may be relevant to them.
This is not a cold-calling sales role. The clients you will contact are existing Delivery Associate clients who already use Eleos for self-billing and payment administration. Your role will be to explain available services clearly, answer basic questions, record interest, and pass more technical matters to the accountant or management team.
The role would suit someone with accounts/admin experience who is organised, confident on the phone, accurate with data, and comfortable speaking to clients in a professional and helpful way.
KEY RESPONSIBILITIES
Accounts and tax administration support
You will support the in-house accountant with:
- Quarterly VAT return preparation and administration.
- Self-Assessment registration and annual tax return administration.
- VAT registration and Flat Rate VAT Scheme administration.
- Bookkeeping and client record maintenance.
- QuickBooks data entry and accounting record updates.
- VAT backdate claim administration and supporting calculations.
- Maintaining accurate records of client services, fees, deadlines and progress.

Client onboarding and communication
You will:
- Contact new Delivery Associate clients to welcome them to Eleos.
- Help initiate their self-billing and payment administration service.
- Confirm key client information and ensure records are complete.
- Respond to client queries by phone, WhatsApp and email.
- Escalate technical accounting, VAT or HMRC queries to the in-house accountant where required.
- Maintain client folders and update internal databases, trackers and CRM systems.
Optional accountancy service conversations
You will:
- Speak with existing Delivery Associate clients about optional Eleos accountancy services.
- Explain services in a clear, professional and non-pushy way.
- Identify whether clients may need support with VAT registration, Flat Rate VAT, Self-Assessment, bookkeeping or VAT backdate claims.
- Send follow-up information by email or WhatsApp.
- Record client interest and arrange next steps for the accounts team.
- Follow up with warm enquiries from clients who have already shown interest.
Compliance and reporting
You will also assist with:
- HMRC portal administration, including applications and client registration processes.
- Checking that client records are complete and accurate.
- Maintaining trackers and progress reports.
- Providing regular updates to management on onboarding, additional services and outstanding client actions.
- Supporting weekly and monthly internal reporting where required.

About you
The ideal candidate will have:
- Previous experience in an accounts assistant, finance admin, bookkeeping, tax admin or client accounts support role.
- Basic knowledge of bookkeeping, VAT, Self-Assessment or accounting administration.
- Experience using QuickBooks or similar accounting software, or willingness to learn.
- Strong telephone communication skills.
- Confidence speaking with clients in a clear, polite and professional manner.
- Good written communication skills for email and WhatsApp client follow-up.
- Ability to manage structured daily tasks and update trackers accurately.
Desirable but not essential
- AAT Level 2, AAT Level 3, bookkeeping qualification or equivalent experience.
- Experience working in an accountancy practice, bookkeeping firm or finance administration role.
- Experience dealing with HMRC online services.
- Experience with VAT returns, Self-Assessment tax returns or sole trader accounts.
- Experience using CRM systems
What this role is not
This is not a hard-sales or cold-calling role.
You will not be expected to contact random prospects. You will be speaking with existing Eleos clients and warm enquiries to help them understand optional services that may support their accounting, VAT or Self-Assessment needs.
