Accounts Assistant
Alongside/Global is building a scalable, AI-enabled creative production collective for a new era of production, blending technology, AI, and world-class creative to help brands move faster, smarter, and at scale across CGI, VFX, and content. We are looking for an Accounts Assistant to keep our day-to-day bookkeeping accurate across multiple studios, entities, and currencies.
This role is hands-on and detail-driven. You will own the core bookkeeping that everything else depends on: bank and card reconciliations, supplier bills, expenses, and clean data across our financial systems. You will report to the Finance Manager and work closely with production and operations.
We embrace AI and technology across the business, finance included. Our multi-entity, multi-currency setup runs on a connected ecosystem of tools and automations, and knowing them well is central to this role. You won't know them all on day one and that’s ok. You will get an introduction to our setup and support from the team, but we are looking for someone who also takes learning into their own hands, whether that means reading documentation, asking AI, or watching a tutorial to work out how each tool works and how they fit together. Spreadsheets are still part of how we work today. But we are moving away from them, and we want someone who helps us get there rather than defaulting to them.
This is a fast-moving environment with several workstreams running in parallel. You will need to juggle competing tasks and prioritise sensibly. When there's more on your plate than can get done, flag it early and agree priorities with your manager.
We are looking for someone highly organised, detail-oriented, and comfortable in a fast-moving environment where processes evolve and ownership matters.
As you grow in the role, there is scope to take on wider finance responsibilities such as accounts receivable and journals, FP&A, compliance and potentially data analysis and management across the business, beyond finance.
Objectives
- Accurate, Up-to-Date Books: Keep bank, card, and supplier records current across all entities so the Finance Manager can close the month and produce management accounts without last-minute clean-up. All transactions should be correctly coded, matched to the right entity, and supported by documentation.
- Clean Accounts Payable: Ensure supplier bills are captured, coded, and approved correctly and on time, so payments are predictable and supplier relationships stay healthy.
- Expense Discipline: Make sure every card transaction has a receipt, a correct code, and the right entity, with gaps chased promptly and followed through until resolution.
- Data Integrity Across Systems: Keep information consistent between our production platform, accounting system, banks, and card tools. Spot sync errors early and resolve or escalate them before they affect reporting.

Key Responsibilities
Bank & Card Reconciliations
- Reconcile all bank, credit card, and Chase/Wise/Ramp accounts on a daily basis
- Flag unusual or unexpected transactions to the Finance Manager immediately
- Update balances for accounts not connected to the daily report
- Produce a monthly report of spent per card owner and category
Expenses
- Review, process, and reconcile expenses from cards in Wise/Ramp on a daily basis
- Chase receipts from card holders and follow up until received
- Collect receipts from softwares and subscription platforms
- Capture Production-related expenses in Scoro
- Ensure every transaction:
- is allocated to the correct entity,
- has descriptive and complete narrative
- is coded against the right account
- has the relevant supporting documentation
- is reconciled properly in Xero
- Maintain an organised, audit-ready record of receipts and supporting documents
Accounts Payable (Bills)
- Own and monitor the inboxes where supplier invoices are being sent
- Review, process, and reconcile bills from Scoro and Hubdoc on a daily basis
- Ensure all bills follow the approval workflow before payment
- Track due dates and prepare the weekly payment run list for approval
- Support supplier onboarding: initiate and retrieve onboarding forms and update banking details
- Maintain accurate vendor master data across relevant systems and entities
- Production-related bills:
- Capture and code production-related bills into Scoro
- Checking accuracy amounts with Producer
- Reconcile production vendor bills synced into Xero
- Follow up with Producers and freelancers on bills that are missing or need correcting
- Non Production-related bills:
- Review all incoming invoices in Hubdoc
- Code and sync bills in Xero
Data Entry & Systems Accuracy
- Get knowledgeable about and comfortable with the various systems involved in financial operations
- Keep data aligned across Scoro (production financials), Xero (accounting), Chase, Ramp, and Wise (banking and cards)
- Monitor integration syncs, identify errors or duplicates, and resolve or escalate them
- Maintain consistent cost coding and flag any duplicate or incorrect chart of accounts codes
- Keep file naming, documentation, and records consistent and easy to find

- Ensure all banks and cards are reconciled and all bills entered ahead of the month-end deadline
- Provide supporting reconciliations and documentation to the Finance Manager for close
General Support to Accounts and Finance Operations
- Reconcile client invoices with payments on a daily basis
- Support producers and Finance Manager on Account Receivable areas where needed (client onboarding, POs collecting and review, etc)
- Support financials reporting where needed
- Help document and maintain the SOPs for your areas of the process
Required Experience & Skills
Experience
- 1–3 years' experience in bookkeeping, accounts assistant, or accounts payable roles
- Solid, hands-on experience with bank reconciliations and accounts payable workflows
- Understanding of how month-end close works (you don't need to have run one)
- Exposure to multi-entity or multi-currency bookkeeping is a plus
Systems & Tools
- Hands-on experience with Xero (or comparable accounting tool: QuickBooks, Sage, NetSuite)
- Good Excel or Google Sheets skills
- Comfortable and eager learning new cloud-based tools and willing to troubleshoot issues
- Slack or MS Teams, Google Workspace or Office
- Prior experience with all our tools is not required — curiosity, adaptability, and the ability to learn quickly matter more.
Financial Discipline
- Strong attention to detail and accuracy with an ability to proofread your own work and catch any issues before anyone else does
- Methodical approach to records and documentation
- Experience matching data across multiple sources
- Curiosity to dig into discrepancies until the underlying reason is uncovered, explained and documented
- Curiosity to understand how the smallest of tasks contribute to the big picture
