Full-time
Salary: £35,000-£40,000 p.a, depending on experience, plus benefits
Eligible for company bonus scheme
Based at our Head Office, Big Penny Social, Walthamstow (E17 6AL)
Monday to Friday, standard office hours

We're looking for an Accounts Assistant to join the team and play a key role in our venues Big Penny Social, Flukes and Big Penny Brews. You'll have relevant Accounts experience in a fast-moving SME, ideally within hospitality, F&B, or similar. We'd like you to be part-qualified ACCA or CIMA, or with an AAT qualification, and have some experience of Xero, plus a good level of Excel.

You’ll be at the heart of our day-to-day finances, working with teams across the business. If you like things done properly and want to be part of something with real purpose — this role is for you.

It's essential that you can easily commute to our Head Office, Big Penny Social.

The Role

As our Accounts Assistant, you’ll keep the engine room of Big Penny’s finances running smoothly — from supplier invoices and payment runs to sales reconciliations, event finances and weekly reporting. You’ll be the friendly first point of contact for finance across the business, helping our teams get the answers they need. It’s a busy, varied role, so you’ll need a sharp eye for detail, a calm head when deadlines stack up, and the confidence to pick up the phone and chase what’s owed.

What You’ll Be Doing

Finance inbox and calls

  • Monitor and manage the accounts inbox
  • Respond to finance-related queries
  • Handle incoming finance calls

Accounts Payable & Receivable

  • Process and manage supplier invoices through Dext and Xero
  • Prepare weekly supplier payment runs in line with cashflow
  • Issue customer invoices for rentals, events, and other sales
  • Monitor outstanding balances and chase overdue payments
  • Reconcile sales through Collins, Dojo, Booked It, Square, and Me&U

Management Reporting

  • Update weekly flash sales reports and profit and loss files with actual sales and cost figures
  • Present financial information to managers during weekly meetings or on request

Events Finance

  • Update actual income and expenditure for events and private hires on Monday.com
  • Monitor outstanding payments, reconcile event income and track future deposits in the cashflow file
  • Liaise with the sales and events team in weekly meetings

Expenses and Petty Cash

  • Reconcile expense transactions on Revolut, manage company cards, monitor balances
  • Gather submission of expenses, process employee expense claims and reimbursements through Xero

Bank Reconciliation & Weekly Journals

  • Complete bank reconciliations, monitor banking transactions and maintain the cashflow file
  • Post the weekly Flukes F&B revenue journal in Xero

Monthly Reporting and Reconciliations

  • Reconcile supplier statements
  • Review and reconcile VAT transactions for the quarterly VAT return
  • Complete the monthly marketing cost reconciliation report
  • Prepare the sales concession report for London City Airport
  • Post monthly consumables and Collins fees journals

Ad-hoc Administration

  • Provide finance-related information as required
  • Register monthly meter readings on supplier portals to get accurate billing
  • Order office and head office kitchen stationery and supplies
  • Complete new supplier forms
  • Liaise with Tevalis and Dojo regarding till system faults, technical issues and new devices

Success Looks Like

  • Sales, bank and card reconciliations are always up to date, with nothing left unexplained
  • Weekly flash reports and P&L files are updated on time, so managers can trust the numbers in front of them
  • The finance inbox is under control and every query gets a quick, friendly response
  • Event and private hire finances are tracked clearly, with no deposit or balance slipping through the cracks
  • Month-end, VAT and concession reconciliations are completed accurately and to deadline
  • You’re growing in confidence and capability, and building your finance career with us

Who we’re looking for

You’ll thrive in this role if you have prior relevant Accounts experience within a fast-paced SMB, ideally within hospitality. You'll also

  • Be part-qualified ACCA or CIMA or qualified AAT
  • Be very comfortable with Xero (or equivalent) and Excel
  • Ideally have experience with hospitality till systems (we use Tevalis and Square)
  • Enjoy working with a varied team of people in an environment where there is always a lot going on
  • Communicate clearly and build trusted relationships
  • Be organised, detail-oriented and never leave a task half-done
  • Bring energy, initiative and a genuinely positive attitude

You must have the right to work in the UK to be eligible for this role. Documented evidence of eligibility will be required from all candidates before commencing employment.
