About The Role
The purpose of this role is to support the efficient operation of the Accounts Payable function by ensuring supplier invoices are accurately processed, verified against goods received, and scheduled for payment in line with agreed terms. The role is responsible for maintaining supplier accounts, resolving invoice or delivery discrepancies, and ensuring timely communication with suppliers to address queries or issues. It also contributes to maintaining accurate financial records, supporting payment processes across purchase and general ledgers, and assisting with process improvements and departmental coverage to ensure all financial tasks are completed efficiently and on time.

Key responsibilities:
- Process high volumes of supplier invoices accurately and efficiently.
- Check invoices against goods received and agreed prices.
- Enter and maintain accurate invoice data on Oracle systems.
- Schedule supplier payments in line with agreed payment terms.
- Process payment runs for Purchase and Overheads Ledgers.
- Investigate and resolve invoice and account discrepancies.
- Review and clear aged items on the ledger.
- Reconcile supplier accounts and check supplier statements.
- Raise prepayments and match them against the relevant invoices.
- Raise and process debit notes when required.
- Liaise with UK and overseas suppliers by phone and email.
- Respond to supplier queries and resolve payment issues promptly.
- Use Excel to maintain, check and analyse financial information.
- Support the dropship process and resolve related issues.
- Maintain accurate and up-to-date supplier account records.
- Work closely with internal teams to resolve finance queries.
- Complete daily, weekly and monthly tasks within agreed deadlines.
- Carry out additional finance duties to support the wider finance team.
About You
- Experience working within an Accounts Payable, Finance, or similar administrative role.
- Strong attention to detail with the ability to accurately process high volumes of invoices and financial data.
- Good understanding of invoice processing, supplier account management, reconciliations, and payment scheduling.
- Ability to investigate and resolve discrepancies such as pricing differences, shortages, or missing deliveries.
- Strong organisational and time management skills, with the ability to prioritise daily, weekly, and monthly tasks to meet deadlines.
- Excellent communication skills, with the ability to maintain professional relationships with suppliers and internal stakeholders.
- Ability to work collaboratively within a team and provide cross-functional support when required.
- Competent in the use of finance systems and Microsoft Office applications, particularly Excel.
- Proactive approach to identifying and supporting improvements to financial and payment processes.
- Experience in processing payment runs and working with Purchase and General Ledgers is desirable.
