Job Details
Monday to Friday, working 37.5 hours
Working within a busy Accounts Payable Department, this role is an integral part of the Finance Function. You will play a key role in ensuring the timely and accurate processing of supplier invoices, payments, and financial records, supporting the efficiency and effectiveness of a well-established Accounts Payable team.
Tasks & Responsibilities
- Distribute and action incoming and outgoing post.
- Manage franking machine, Royal Mail correspondence, and deliveries.
- Undertake ad hoc administration duties.
- Answer and direct telephone calls professionally.
- Raise and manage supplier queries.
- Liaise with internal departments and external suppliers.
- Maintain the Accounts Payable email inbox.
- Support the wider Finance team with administrative tasks.
- Ensure supplier records are accurately maintained and updated.
Accounting Duties
- Process high volumes of supplier invoices accurately and within agreed timescales.
- Match invoices to purchase orders and goods received notes.
- Investigate and resolve invoice and payment discrepancies.
- Reconcile supplier statements and resolve outstanding queries.
- Prepare supplier payments via BACS and other payment methods in accordance with company procedures.
- Monitor and maintain supplier accounts to ensure timely payments.
- Process employee expense claims in line with company policy.
- Set up and maintain supplier accounts and master data records.
- Manage invoice approval workflows and ensure timely authorisation.
- Maintain accurate filing and electronic document management systems.
- Assist with month-end activities, including accruals and reconciliations.
- Support internal and external audit requirements by providing requested documentation.
- Run regular reports to identify overdue invoices, outstanding queries, and payment commitments.
- Maintain internal controls and processes to a high standard.
- Support continuous improvements within Accounts Payable processes and procedures.

Skills Required
- Computer literate with a good level of IT skills, including Microsoft Office applications.
- Excellent communication skills.
- Ability to work effectively as part of a team.
- Strong organisational and time management skills.
- Previous Accounts Payable or finance administration experience desirable but not essential.
- Good telephone manner.
- Strong attention to detail and accuracy.
- Ability to follow instructions and established processes.
- Ability to prioritise workload and meet deadlines.
- A proactive and positive approach to problem-solving.
