PA to Publishing Management Team

We’re looking for an experienced PA to join our Publishing Management team for a 12-month fixed-term. This is a hands-on role suited to someone personable, organised, precise and discreet who plays a key part in the smooth-running of busy and varied Publishing teams.

The Management PA provides confidential, proactive and detail-focused administrative support to senior leaders within the publishing business. Operating with autonomy and discretion, this role is pivotal in supporting strategic meetings, coordinating communications and serving as a highly trusted liaison between internal and external stakeholders.

The Management PA is expected to demonstrate sound judgement, exceptional organisational ability, and a calm, professional demeanour under pressure. The role contributes to the broader effectiveness of the leadership and publishing teams by ensuring that administrative processes are streamlined, sensitive issues are handled with tact and integrity and critical priorities are actioned in a timely and confidential manner. You will be proactively identifying and resolving issues before they become problems.

This role plays an ambassadorial function - strengthening relationships with clients, suppliers, and internal teams alike. The postholder is also responsible for supporting business operations through accurate document preparation, event coordination, travel management, and data tracking, whilst participating in a collaborative culture within the wider business support network.

This role also works alongside the Content Team Co-Ordinator and Facilities team to support the London office with general enquiries and co-ordination where needed, ensuring the smooth and efficient functioning of the publishing teams.

Key Responsibilities

  • Providing PA support to 5 Publishers with duties including but not limited to: diary management, arranging meetings, booking meeting rooms, desks and venues, organising travel bookings and logistics, assisting with preparing materials for meetings such as agendas and presentations, submitting expenses, processing payments and invoices using Bauer Media’s finance systems
  • Handling sensitive and confidential information with discretion
  • Answering queries promptly and professionally – internally and externally, and filter any other queries to the relevant individual or department
  • General office duties e.g., ordering refreshments, greeting guests, liaising with the facilities team
  • Assisting with ad-hoc requests, including but not limited to: organising and co-ordinating events, away days & workshops, booking taxis for guests or clients
  • Supporting on projects
  • Assisting with recruitment alongside HR and supporting onboarding of new starters in the team; communicating with successful candidates, arranging IT equipment and completing forms
  • Working with Publishers to keep the departmental organisation charts up to date
  • Providing ad-hoc cover for other PAs when required
  • Providing some administrative support to teams across Publishing department
  • Attending meetings where necessary; drafting minutes and circulating action points

Working Pattern/Location

This is a Hybrid role that supports a balance of working from home and our office in London. Occasional travel to the Peterborough office.
