Activities Coordinator / Fitness Instructor (Duty Manager)

£26,125 (FTE £32,650)

Hours:

Part time – 32 hours per week. 4 days a week (shifts include early mornings, evenings and weekends). Additional hours may be offered for this role, as well as the opportunity to teach exercise classes and coaching, thus enhancing salary rate.

University College School (UCS) is one of the top independent schools in the UK. Operating as three linked schools at separate sites in Hampstead, it educates 1100 students from age 4 to 18. The School has improved revenue generation from spare capacity through the auspices of a wholly owned not-for-profit trading subsidiary company, UCS Facilities. Trading activities are overseen by the UCS Enterprise Office, which manages the operation of a health and fitness club ("UCS Active"), a sports/swimming pool complex and on letting any spare capacity in school buildings and facilities for social and business use.

UCS Active wishes to appoint a Kids Active Programme Assistant / Duty Manager as a key member of the Enterprise Office. For further information about UCS Active, refer to our website: www.ucsactive.org.uk.


Location

The Senior School is located within easy walking distance of Finchley Road (Metropolitan and Jubilee lines), Finchley Road & Frognal (Overground), Hampstead (Northern line) and West Hampstead (Thameslink) stations. Staff are encouraged to use public transport, although limited car parking may be available on site.


Job Purpose

The Activities Coordinator plays a key role in supporting the Fitness Services Manager in the day-to-day coordination and growth of the Kids & Teen Active Programme. This role involves a hands-on approach to developing and running children's and teenager sports performance holiday programmes, coordinating the termly Kids Active timetables, and ensuring high-quality service delivery across the club. The role would also include practical fitness work in the form of fitness instructing for both adults and teens.

  • Assisting with structural build of new initiatives: 30%
  • Reception (Front of House) / Duty Manager work: 30%

Job Scope

General

  • Assist the Fitness Services Manager in ensuring the smooth running and growth of the Kids / Teen Active Programme.
  • Act as Duty Manager / Front of House Receptionist on pre-assigned shifts (including early mornings, evenings, and weekends).
  • Conduct guided tours of the facility for prospective members and visitors.
  • Support member and staff events like tournaments across the facility as required.
  • Collaboratively engage with the wider team within a school/club environment.
  • Support the senior management team with ad-hoc operational tasks.

Reception

  • Serve as a primary point of contact at Front of House, warmly greeting all members, guests, and stakeholders.
  • Manage facility registration and enforce security and administrative entry procedures.
  • Handle incoming phone calls and email inquiries in a professional and timely manner.
  • Assist with promoting club campaigns, course openings, and maximizing sales opportunities.

KA / TA Programme Administration and Growth

  • Monitor and manage the dedicated Kids Active email inbox, responding to parental inquiries promptly.
  • Assist in designing, scheduling, and publishing the termly Kids Active timetable and sports performance holiday camp schedules.
  • Coordinate termly course logistics, including staff rotas, class capacity management, and key dates.
  • Draft and send clear communications to parents regarding upcoming courses, booking deadlines, and payment follow-ups.
  • Holiday Programme Development: Taking a hands-on approach to designing and running teenage sports performance holiday camps.
  • Timetable Coordination: Organizing and managing the termly Kids Active timetables and course schedules.
  • Service Quality: Ensuring high standards of service delivery and customer experience across all areas of the club.
