Workmate Agency are looking for a highly organised and proactive Admin Account Coordinator to provide administrative and account support across multiple client projects. This role is central to ensuring smooth day-to-day operations by coordinating client communications, maintaining accurate records, supporting project delivery, and assisting the Account Management and Operations teams.
The successful candidate will be detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide day-to-day administrative support to the Account Management team.
- Act as a first point of contact for client enquiries, ensuring timely and professional responses.
- Maintain accurate client records, project files, and CRM systems.
- Prepare quotations, purchase orders, invoices, and project documentation.
- Coordinate project schedules, meetings, and client communications.
- Support logistics planning for vehicle deployments, roadshows, exhibitions, and events.
- Liaise with internal departments including Operations, Workshop, Logistics, Graphics, and Finance.
- Monitor project timelines and ensure administrative tasks are completed within deadlines.
- Arrange travel, accommodation, and meeting logistics where required.
- Assist in preparing reports, presentations, and project updates for clients.
- Ensure documentation complies with company procedures and quality standards.
- Support post-project administration, invoicing, and customer feedback processes.

Essential Skills & Experience
- Previous experience in an administrative, account coordination, or customer service role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Confident using Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Ability to prioritise workload and manage multiple tasks simultaneously.
- Professional and customer-focused approach.
Desirable
- Experience within events, logistics, manufacturing, or project administration.
- Knowledge of CRM or ERP systems.
- Experience supporting client accounts or project teams.
- Understanding of purchase orders and invoicing processes.
