Role: Admin Assistant
Location: Middlesbrough, Cleveland
We are seeking a proactive and organised Admin Assistant to join our team on a permanent, full-time basis.
The successful candidate will provide essential administrative support to our Project Delivery teams, helping to ensure the smooth and efficient operation of multiple live projects and day-to-day office management. This role plays a key part in maintaining project documentation, coordinating training requirements, supporting employee onboarding, managing procurement activities, and maintaining accurate project records and performance data.
What you'll be doing:
- Provide comprehensive administrative support across multiple live projects.
- Maintain the company Training Matrix and coordinate training bookings to ensure compliance and competency requirements are met.
- Assist with the onboarding of new employees, including raising requisitions for IT equipment, PPE, and other essential resources.
- Raise purchase requisitions for office equipment, stationery, PPE, and operational requirements.
- Prepare and distribute project information packs for site supervisors and project teams.
- Support the Operations Manager & Project Managers with the preparation of reports, presentations, charts, and performance data.
- Compile and maintain statistical information, including Positive Observation reporting and Lost Time Incident data.
- Coordinate and book transportation and logistics requirements.
- Organise meetings, book meeting rooms, prepare agendas, and follow up on actions as required.
- Maintain, update, and distribute project records, documentation, and controlled documents.
- Develop a strong understanding of project delivery activities and provide administrative support to facilitate successful project outcomes.
- Maintain project performance trackers and key project metrics.
- Manage holiday bookings and maintain holiday records and trackers.
- Liaise with suppliers regarding orders, deliveries, and service requirements.
- Receipt goods and maintain accurate procurement records.

Desirable
- Previous experience in an administrative or project support role.
- Experience working within a construction, rail, engineering, or project delivery environment.
- Experience maintaining training records, compliance documentation, or management systems.
- Familiarity with procurement processes and purchase ordering systems.
- Knowledge of project management tools and reporting systems.
