Hays are delighted to be supporting a well-established organisation in Inverness with the recruitment of a Temporary Admin Assistant for an initial period of up to 12 weeks. This is a varied and fast-paced position that would suit an experienced administrator who enjoys supporting different areas of the business and takes pride in delivering a high standard of service. This role is fully office-based and offers an immediate start.

Your new role

As Admin Assistant, you will provide essential administrative support across the office, ensuring the smooth day-to-day running of operations. Your duties will be varied and will include:

  • Welcoming visitors and providing a professional first point of contact
  • Managing shared inboxes
  • Coordinating correspondence
  • Supporting meetings through minute taking and note preparation
  • Assisting with a range of HR administration tasks
  • Processing and coding invoices accurately
  • Ordering office stationery and supplies
  • Providing administrative support relating to the maintenance and management of office facilities

Document management will form an important part of the role, requiring the use of SharePoint and other Microsoft applications to maintain accurate records and ensure information is stored correctly and in line with organisational procedures. This is a broad and hands-on position that requires someone who is confident working across multiple administrative functions and can manage competing priorities effectively.

What you'll need to succeed

To be successful in this role, you will have previous experience working in a busy office-based administrative position and be comfortable undertaking a wide variety of tasks. You will possess excellent organisational skills, strong attention to detail and a commitment to maintaining accurate records and data integrity. You will have strong Microsoft Office skills, including experience using Outlook, Word, Excel and SharePoint for document management. Strong communication skills are essential, along with the ability to work independently, use initiative and build positive relationships with colleagues, visitors and external contacts. This role also requires you to hold a current Disclosure Scotland or to apply for one prior to the start date.
