Admin Assistant (full time)

Salary: From £24,000 (dependent on experience)

Hours: 4 Day Week, Mon – Thurs 8.5 hours a day (includes a 30min lunch break)

Location: Newmarket, Suffolk

Fusion Conferences, a highly reputable, family-run scientific conference organiser, is looking for an Admin Assistant to join their small and friendly team.

In this role, you will support the planning and delivery of several conferences throughout the year, assisting with everything from pre-conference preparation and organisation through to on-site delivery and post-conference follow-up.

You’ll work closely with leading professors, doctors and experts from around the world, helping to create engaging, valuable and memorable in-person meetings for the scientific community.

The Office

When you spend more time with your colleagues than your own family and friends, we know how important it is to enjoy your place of work! We have just moved into a newly refurbished office space and it’s a super relaxed environment. Our small team has a real family feel and amongst the hectic workload, there is always a lot of fun and laughter throughout the day.

We are all huge food lovers and there is usually a treat of some sort thrown into the working week, whether it be a takeaway lunch, morning pastries, office bake or the occasional dinner date after work at one of the nearby pubs or restaurants.

The Role

  • International travel for 1-2 weeks at any one time to assist with the delivery of conferences
  • Assist and support the Conference Managers with all aspects of conference planning and delivery
  • Assist with website updates and keeping conference information up to date
  • Communicate with clients through phone, email and in-person
  • Assist with the administration of speaker invitations, correspondence and follow-ups
  • Respond to daily enquiries from clients, speakers, delegates and other contacts
  • Support fundraising activities and assist with communication with potential and confirmed sponsors
  • Assist with marketing and sales activities across conferences
  • Support the creation of campaigns, communications and marketing/conference collateral
  • Assist with sourcing and coordinating suppliers providing services alongside the conference, including transportation, activities and AV
  • Assist with digital content management across social media and other relevant platforms
  • Provide general administrative and organisational support to the wider conference team
  • Work closely with and report to the Operations Manager and Fusion Directors

Required Abilities & Skills

  • Organised and reliable, with a good ability to manage tasks and prioritise competing deadlines
  • Strong attention to detail, with pride in producing accurate and professional work
  • Excellent communication skills, both written and verbal, with the confidence to communicate professionally with a range of people
  • Friendly, sociable and approachable, with a natural ability to build positive relationships
  • Proactive and willing to learn, with the initiative to ask questions, find solutions and take on new responsibilities
  • A positive and adaptable attitude, able to remain calm and flexible when plans change or unexpected situations arise
  • A team player, who enjoys working collaboratively and supporting colleagues to achieve shared goals

  • Motivated and enthusiastic, with a genuine interest in developing a career within the events and conference industry
  • Comfortable working in a busy environment, with the ability to manage multiple tasks without losing attention to detail
  • Computer literate, with a good working knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook
  • Good typing and administrative skills, with an ability to learn new systems and software quickly
  • Creative and willing to contribute ideas
  • Willingness to travel internationally for conferences, sometimes for 1–2 weeks at a time
  • Valid passport and ability to travel internationally for work
