Admin Assistant (Newcomers)

Position: Admin Assistant (Newcomers)

Hours: 15 hours per week (0.40 FTE) *

Contract: Permanent

Summary / Overview of role:

Working alongside the Ministry Pastors and the Newcomers & Evangelism Team, you will provide administrative support to effectively facilitate the running of the ministries and support ministry staff, as well as enabling new and current members to fully participate in church life.

The Newcomers & Evangelism team runs courses, events and ministries throughout the year. These include Alpha and discipleship courses, Connect, Newcomers’ Meals, Men’s and Women’s ministries, Marriage & Pre-marriage courses, Ministry on the Streets and Baptisms.

You will be the main administrator for ChurchSuite (record management system) and oversee the Newcomers email account. You will be warm and welcoming, helping to answer queries and supporting the team to ensure events run smoothly. This postholder will need to work alongside other ministry areas, such as referring people for support to join a small group or to serve on a team and collate data for reporting.

Responsibilities

  • Provide general administrative support for ministry events including booking rooms, printing labels and printing resources
  • Oversee the ordering, stock control, and organisation of literature and resources, ensuring cost-effectiveness, timely replenishment and well-maintained supplies
  • Accurately input, process and present data appropriate to the ministries
  • Keep information accurate and updated, archiving as required
  • Respond to requests in a timely manner, sometimes at short notice
  • Oversee the inputting and administration of records and flows on ChurchSuite, allocating enquiries to the appropriate teams
  • Manage the Newcomers email account, appropriately responding to queries and requests
  • Proficient use of the administrative systems including Microsoft 365 and ChurchSuite
  • Diarise and book rooms for team meetings/events, keeping the team calendar updated
  • Responsible for set up and set down of team meetings
  • Attend team and staff meetings, and training as required
  • Collate statistics and data for the monthly report and as required
  • Take on new roles and responsibilities as the ministry changes and develops
  • Handle confidential and sensitive information in a professional and discreet manner

Person Specification

  • A team player, personable and approachable
  • Able to work under pressure to tight deadlines
  • A keen eye for detail and have a mindset of doing things well
  • Able to communicate clearly and respond in a timely and appropriate manner to internal and external queries, verbally and in writing
  • Organised, efficient, and adaptable to the changing needs of the ministries
  • Proficient in Microsoft 365, Teams and Outlook
  • Be willing to learn new skills and become proficient in using ChurchSuite
  • An imaginative problem solver, able to use initiative and discretion, and be flexible as the situation requires
  • Able to process data quickly and efficiently, accurately collating data and statistics for reports and presenting information in an accessible way
  • Share ideas for continuous improvement

Qualifications

  • Desirably educated to A-Level standard, with at least a B grade / 6 grade in English and Maths GCSE (or equivalent qualifications).
  • Proficient in IT and computer literate with a variety of software, including Microsoft 365.

  • Right to work in the UK
  • Be a practicing Christian
