Role Overview
The Admin & E-Commerce Executive is responsible for supporting the day-to-day e-commerce and operational activities of the business, with particular responsibility for product listings, online order fulfilment, shipping, stock accuracy, and general administration.
Working within a luxury watch business requires an exceptionally high level of accuracy, organisation, and accountability. The successful candidate will be trusted to work with high-value products and sensitive order information and will be expected to maintain consistently high standards across all areas of their role.
A key objective of the position is to ensure that every watch is accurately represented online and that every client order is processed and fulfilled professionally, efficiently, and with exceptional attention to detail.
Key Responsibilities
E-Commerce & Product Listings
- Create and maintain product listings across the company website.
- Write clear, professional, accurate, and engaging descriptions for luxury watches.
- Research and verify watch specifications and product information before publication.
- Ensure product titles, descriptions, specifications, imagery, and other listing information are complete and accurate.
- Maintain consistency in the presentation and formatting of products across the website.
- Review existing listings and correct or update information where required.
- Ensure sold, reserved, and available stock is accurately represented online.
Online Order Fulfilment
- Process online orders accurately from initial purchase through to dispatch.
- Verify order, product, customer, and delivery information before fulfilment.
- Prepare watches and accompanying documentation for dispatch in accordance with company procedures.
- Prepare luxury packaging to the highest possible presentation standard.
- Coordinate deliveries, shipping, and customer collections.
- Ensure appropriate shipping documentation is completed accurately.
- Monitor orders through the fulfilment process and escalate any issues promptly.
- Help ensure every client receives a five-star experience throughout the purchasing and delivery process.

Stock & Inventory Management
- Work closely with the buying and sales teams to maintain accurate stock records.
- Ensure movements of watches into, within, and out of the business are recorded correctly.
- Participate in weekly stock takes.
- Identify and report stock discrepancies immediately.
- Assist with maintaining accurate inventory information across internal systems and the website.
- Handle all watches with appropriate care, security, and accountability.
Administration & Team Support
- Provide general administrative support to the wider business.
- Maintain accurate records and organised documentation.
- Communicate effectively with colleagues across sales, buying, and operations.
- Assist with day-to-day operational requirements as needed.
- Identify opportunities to improve processes, accuracy, and efficiency.
- Remain flexible and willing to support colleagues during busy periods.

Experience & Knowledge
Previous experience in e-commerce, administration, order fulfilment, stock management, luxury retail, or a similar role would be advantageous but is not essential.

Previous experience within the luxury watch industry is not required. Training and product knowledge can be developed, however, candidates must demonstrate a genuine willingness to learn and an appreciation for the standards expected when working with luxury products.
