Jordan Mission intends to improve life skills and develop self-esteem for young adults in East London (Newham). We focus on young adults struggling in finding guidance and information for employment, apprenticeships, or training.
What difference will you make?
Jordan Mission has been a much loved feature in the community for over 10 years. The future is looking bright as a result but we must ensure that Jordan Mission has the best Board of Trustees to continue on this path.
What are we looking for?
An experienced Administrator,
Organised person with some experience in the charity sector. While not critical to the role experience of working in young adults & Children charities or education would be ideal.
- Preparing agendas in consultation with the chair and chief executive, and circulating them and any supporting papers in good time
- Making all the arrangements for meetings (booking the room, arranging for equipment and refreshments, organizing facilities for those with special needs, etc)
- Receiving agenda items from other trustees/staff
- Checking that a quorum is present
- Ensuring that the minutes are signed by the chair once they have been approved
- Checking that trustees and staff have carried out actions agreed at a previous meeting
- Circulating agendas and minutes of the annual general meeting and any special or extraordinary general meetings (where required)
- In organisations that are companies, fulfilling the functions of a company secretary if these responsibilities have not been delegated to a member of staff
- Sitting on appraisal, recruitment and disciplinary panels as required

What will you be doing?
- Keeping the trustee committee, employees, partners and other stakeholders informed about Jordan Mission’s activities.
- Taking minutes (or being responsible for them being taken) and circulating draft minutes to all trustees
- Keeping online files of past minutes and reports.
- Letting attendees know dates, times and location for committee meetings
- Helping to prepare agendas for meetings with the Chair.
- Writing and receiving letters on behalf of Jordan Mission Team.
- Keeping members informed of what correspondence has been sent out and received.
- Keeping a record of membership
- Managing trustee applications/resignations and registering new trustees
- Keeping a record of important contact details
- Administering Google Drive
