Administration and Events Officer

Salary: £25,600 per annum (FTE £32,000) Hours: 30hrs per week (based on FTE at 37.5 hrs a week) Contract: Fixed term, 6 months Location: Hybrid, offices in Brent Closing date: Wednesday 7th October at 12:00 noon Interviews: Wednesday 14th and 15th October

Purpose of the Role

The Administration and Events Officer will provide essential operational, administrative and event management support across the programmes and activities Brent Giving runs. The role will help ensure smooth delivery of meetings, training sessions, grant panels and community engagement events.

Key Responsibilities

Administration

  • Provide efficient administrative support across the organisation.
  • Maintain accurate records and filing systems.
  • Support scheduling, meeting coordination and minute-taking.
  • Manage the organisational calendar and key programme deadlines.

Events Coordination

  • Organise and deliver external-facing community and stakeholder events.
  • Coordinate internal meetings, grant panels and workshops.
  • Support the delivery of training sessions, both in-person and online.
  • Manage event logistics, venues, registrations and participant communications.

CRM and Database Management

  • Maintain and update the organisation's CRM system.
  • Ensure accurate recording of stakeholder engagement and event participation.
  • Produce reports and administrative information as required.

Programme Support

  • Support grantmaking activities and panel logistics.
  • Assist with communications to applicants, ambassadors and community partners.
  • Contribute to the smooth day-to-day running of programmes and events.

Person Specification

Essential

  • Strong administrative and organisational skills.
  • Experience coordinating meetings and events.
  • Ability to manage multiple priorities and deadlines.
  • Experience using databases or CRM systems.
  • Excellent communication and customer service skills.
  • High level of accuracy and attention to detail.

Desirable

  • Experience working in the charity or community sector.
  • Experience delivering online events and training.
  • Knowledge of Brent's voluntary and community sector.

Reporting Line

This post will report to one of the Co-Directors and support the delivery of our strategic priorities: organisational sustainability, impact and growth.
