Administration Apprentice (PPM and Asset)

Equans is looking for an Administration Apprentice (PPM and Asset) to join our team at the Queen Alexandra Hospital in Portsmouth. This is a Fixed Term Contract for 24 months on a full-time basis working 37.5 hours per week. On offer is a competitive salary and excellent benefits package.

What you'll do at work

Are you ready to begin a career in Hard Facilities Management, supporting the maintenance of critical hospital systems? Join us at Queen Alexandra Hospital to play a key role in maintaining statutory and mandatory compliant systems that ensure safe and effective healthcare environments. As part of our Asset Management team, you will support the delivery of planned preventative maintenance, repairs, testing, and new installations across a wide range of hospital equipment, services, systems, and buildings.

You will learn valuable skills while contributing to a professional, customer-focused FM function, supporting both internal teams and contracted service providers.

What will you deliver?

  • Assist in providing a 24/7 maintenance service for Portsmouth Hospitals University Trust within the service provider team.
  • Help coordinate planned preventative maintenance (PPM) activities, ensuring optimal allocation of work, manpower, and resources.
  • Support the scheduling and completion of all Statutory and Mandatory inspections and maintenance.
  • Maintain and update statutory, contractual, and compliance records accurately.
  • Update the computerized maintenance management system (CAFM) and manual records.
  • Assist in producing operational and compliance reports as required.
  • Provide asset-related advice and support within core technical areas.
  • Promote excellent customer service to internal and external partners.
  • Collaborate effectively with support services teams to ensure smooth operations.
  • Maintain and develop knowledge of relevant legislation, standards, and best practices, including health & safety regulations like COSHH.
  • Undertake additional reasonable duties as assigned by management.

  • Estimate and calculate Life Cycle Cost (LCC) or Total Cost of Ownership (TCO) for assets/asset systems.
  • Use techniques to identify interventions for assets/asset system and estimate benefits.
  • Apply multi-criteria decision-making methods to proposed intervention options.
  • Select and use decision support tools to make asset management recommendations.
  • Develop asset life-cycle plans including performance monitoring and business case.
  • Classify assets, asset systems, life cycle stages and activities.
  • Plan and manage projects.
  • Assess asset health; condition and performance.
  • Select and apply fault finding technique(s) to identify causes and effects of assets/asset system failures.
  • Apply continuous improvement techniques.
  • Assess and quantify asset, asset system and asset management activity-related risks; identify mitigation options.
  • Comply with legislation, asset management standards and company policies.
  • Use information technology systems and processes: for example, asset registers, work management systems, word processing, spreadsheets, email, presentation.
  • Collate and analyse asset/asset system data and information.
  • Interpret and present data - qualitative and/or quantitative.
  • Communicate with colleagues and stakeholders – verbal, written and presentation.

Training schedule

You will undertake training via an apprenticeship which will be delivered virtually. You will train for 6 hours per week and receive mentoring and development on the job.

Desirable qualifications

  • GCSE in:
    • maths and English (grade 9-4)

Other requirements

Due to the nature of the contract, you will be required to obtain and maintain a DBS at Standard Level.
