An Exciting Opportunity for an Administrative Assistant

An exciting opportunity for a detail-oriented Administrative Assistant to join a busy and collaborative team, supporting administration, supplier management, internal communications, and event coordination. The successful candidate will ensure administrative processes run efficiently, maintain accurate records, and provide high-quality support across the organisation.

Description

Key Responsibilities

  • Support vendor onboarding, risk assessments, contract management and supplier governance processes.
  • Liaise with suppliers to obtain quotes and coordinate administrative services.
  • Maintain accurate records and ensure compliance with internal policies and procedures.
  • Assist with governance and approval processes, tracking documentation through to completion.
  • Manage invoice processing, reconciliations and budget-related administration.
  • Oversee shared administration mailboxes and respond to enquiries promptly.
  • Create and distribute internal communications and staff updates.
  • Maintain and update the company intranet, ensuring content remains accurate and engaging.
  • Support the planning and delivery of corporate and staff events.
  • Act as the main point of contact for the switchboard and general office enquiries.
  • Provide administrative support to senior stakeholders and wider teams as required.
  • Maintain electronic and paper filing systems, ensuring records are kept up to date.
  • Assist with policy updates, process improvements and staff training when required.
  • Undertake additional administrative and project-based tasks to support business operations.

Profile

A Successful Person Should Have

  • Previous experience in administration, business support, or office coordination.
  • Strong organisational skills with excellent attention to detail.
  • Outstanding written and verbal communication skills.
  • Confidence managing multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office, particularly Word, Excel and PowerPoint.
  • Experience coordinating suppliers, invoices, or administrative processes.
  • A proactive approach with the ability to work independently and as part of a team.
  • Strong interpersonal skills and a customer-focused mindset.
  • The ability to maintain confidentiality and handle sensitive information professionally.
  • Experience supporting events, communications, or internal projects would be advantageous.
