Administration Assistant - Coventry

We are looking for an organised and customer-focused Administration Assistant to provide effective administrative support to our Customer Service Co-ordinators. You will help ensure the department operates efficiently by maintaining accurate and up-to-date records, while delivering a professional service to customers and colleagues. This is a varied role, suited to someone who is proactive, adaptable and confident in managing a range of administrative responsibilities within a commercial environment.

About The Role

  • Hours Per Week: 37
  • Days Per Week: Monday to Friday, with shift patterns of 08:30 - 16:30, 09:00 - 17:00 or 09:30 - 17:30
  • Contract: Full Time and Permanent
  • Annual Salary: £25,879
  • Hiring Manager: Meera Dass
  • Closing Date: Tuesday 22nd September 2026

The Day to Day

  • Field telephone calls and provide reception cover when required.
  • Process orders accurately and efficiently.
  • Check job documentation to ensure all information is complete and accurate.
  • Scan, file and archive documents in line with company procedures.
  • Arrange collections and deliveries.
  • Respond to enquiries, providing appropriate information or referring queries to the relevant team or colleague.
  • Action Sample Anomaly and Commercial Changes forms.
  • Process invoice approvals.
  • Complete pre-registration for customers where required.
  • Maintain incoming and outgoing post.
  • Support the Customer Service Co-ordinators with general administration and other ad hoc duties.
  • Contribute to the establishment and continuous improvement of best practices for customer support.
  • Support and provide cover for other team members when appropriate, helping the department meet business requirements.

The Essentials

  • Previous office administration experience, ideally within a commercial organisation.
  • Excellent planning, organisational and time-management skills.
  • The ability to prioritise and manage your own workload effectively.
  • Strong written and verbal communication skills.
  • Experience using a range of IT systems, including Microsoft Office.
  • A professional, flexible and customer-focused approach to work.
  • A strong commitment to quality, compliance and maintaining accurate records.
  • The ability to demonstrate positive behaviours in line with company values.
  • A collaborative approach, with the ability to engage positively with colleagues and contribute to an integrated, high-performing team.
