Join Jordans Solicitors LLP as an Administrative Apprentice

Gain practical experience across Probate, Conveyancing, Litigation, and Administration. You will support a friendly and professional team with reception, correspondence, archiving, and everyday office-based tasks while completing your level 2 qualification.

About the Role

We are looking for two professional and enthusiastic individuals to join our team while studying to achieve their level 2 qualification. Candidates should be able to demonstrate professionalism, confidentiality, strong communication skills, attention to detail, confidence using computers, and show a willingness to learn. This role would be ideally suited for school leavers, and their general duties will include:

  • Providing reception support, welcoming visitors, and handling telephone/email enquiries in a professional manner
  • Sending routine emails and correspondence under supervision
  • Archiving, filing, and retrieving paper and electronic documents securely
  • Entering, updating, and retrieving information using office systems and digital records
  • Supporting colleagues in Probate, Conveyancing, Litigation, and Administration departments with routine office tasks
  • Preparing, scanning, copying, and organizing documents while maintaining client confidentiality
  • Preparing daily tasks with a supervisor and reporting queries or issues promptly

Apprenticeships include time away from working for specialist training. You’ll study to gain professional knowledge and skills.

Course Contents

  • Receive, retrieve, process, record, and store information and data
  • Operate within organizational policies, standards, and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur
  • Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organizational policies and procedures
  • Handle and communicate information in line with organizational policies, procedures, and security requirements
  • Recognize and rectify issues and escalate as required. For example, stakeholder documents and reports, safeguarding concerns, or abusive behavior
  • Plan and review administration tasks allocated by supervisor
  • Maintain professional relationships with stakeholders
  • Monitor and report on the use of resources such as materials, equipment, and supplies
  • Use agreed organizational systems and protocols to manage calendars, diaries, and booking systems
  • Source information as requested by stakeholders, ensuring they are shareable. As examples, client records, signpost to services, or reports
  • Use continuing professional development including self-reflection to support current and future training and development needs
  • Use communication tools to respond to stakeholders using professional language and organizational etiquette
  • Operate within agreed health and safety standards
  • Use time management tools to meet deadlines
  • Handle feedback following expected professional etiquette
  • Maintain wellbeing, accessing organizational support mechanisms if required
  • Review and check own work
  • Use cloud services to share documents for use and/or collaboration
  • Protect against security threats for example, strong passwords, two-step verification, office tailgating, and display of security passes or clothing that identifies secure workplaces
  • Seek clarification and help, when required, to complete assigned tasks within agreed timeframes

Essential Qualifications

  • GCSE in MATHS AND ENGLISH (grade 4/C)

Requirements

Applicants must be able to travel to the Doncaster office and to Doncaster College reliably and within a reasonable commute time. Travel to Kiveton Park branch is also required, travel to be reimbursed.

Apprentices are paid for their normal working hours and training that forms part of their apprenticeship. The Apprenticeship National Minimum Wage guide is updated every April (ANMW):
