Cubico Sustainable Investments is seeking a proactive, organised Reception & Office Apprentice

Cubico Sustainable Investments is looking for a proactive, organised Reception & Office Apprentice to support office operations and reception duties, while working towards a nationally recognised qualification in a leading renewable energy sector.

About the Role

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

The Reception & Office Apprentice will support the smooth day-to-day running of Cubico Sustainable Investments, combining front-of-house reception duties with administrative support across the business.

Working within a professional corporate environment, the apprentice will develop core administration, communication, and organisational skills within the renewable energy sector.

Key Duties & Responsibilities

Front of House:

  • Always maintain a tidy & presentable reception area
  • Manage meeting room bookings, ensuring appropriate scheduling and setup
  • Greet international guests & external visitors warmly
  • Answer & direct telephone calls, emails & general enquiries in a professional manner
  • Report any issues in meeting rooms to the Office Manager & IT department

General Administrative Duties:

  • Manage incoming & outgoing correspondence, including post & courier deliveries
  • Monitor office conditions & report issues to the Office Manager
  • Maintain accurate electronic & paper-based filing systems
  • Ensure confidential business information is handled appropriately & in line with company policies
  • Support the wider business with general office administration duties as required
  • Contribute to continuous improvement by identifying ways to enhance administrative processes
  • Oversee the general upkeep including inventory maintenance & organisation of the main and Executive Committee kitchen

Office Events Coordination:

  • Help organise company events, meetings & team activities where required
  • Assist with logistics for board meetings, room setup, catering & on-the-day requests

Skills & Experience Gained

  • Front-of-house experience, including greeting visitors, managing calls, and directing enquiries professionally
  • Business administration experience within a professional corporate environment
  • Knowledge of administrative systems, processes, and office procedures
  • Confident use of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Professional communication skills with colleagues, suppliers, and visitors
  • Meeting and diary coordination, including room bookings and hospitality arrangements
  • Document management and record-keeping skills
  • Data accuracy and attention to detail
  • Organisation, prioritisation, and time management skills
  • Awareness of confidentiality and handling sensitive information appropriately
  • Confidence working independently and as part of a team
  • Exposure to the renewable energy and investment sector

Training

Course Contents

  • Receive, retrieve, process, record, and store information and data.
  • Operate within organisational policies, standards, and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
  • Use software packages and tools to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
  • Handle and communicate information in line with organisational policies, procedures, and security requirements.
  • Recognise and rectify issues and escalate as required.
  • Plan and review administration tasks allocated by supervisor.
  • Maintain professional relationships with stakeholders.
  • Monitor and report on the use of resources such as materials, equipment, and supplies.
  • Use agreed organisational systems and protocols to manage calendars, diaries, and booking systems.
  • Source information as requested by stakeholders, ensuring they are shareable.
  • Use continuing professional development including self-reflection to support current and future training and development needs.
  • Use communication tools to respond to stakeholders using professional language and organisational etiquette.
  • Operate within agreed health and safety standards.
  • Use time management tools to meet deadlines.
  • Handle feedback following expected professional etiquette.
  • Maintain wellbeing, accessing organisational support mechanisms if required.

Training Schedule

You will be completing the Level 2 Administration Assistant Apprenticeship Standard with Darlington Borough Council Learning & Skills.

Training will be provided to achieve the following qualifications:

Level 2 Administration Apprenticeship Standard

Training will take place weekly, remotely via Teams. These sessions will help you develop the knowledge, skills, and behaviours to ensure they exceed the minimum requirements for the Administration Assistant Level 2 apprenticeship standards.
