Administration Assistant Apprentice

Location: Walsall (WS1 3RU)

Summary

We have a great opportunity for an Administration Assistant Apprentice to join a friendly team in the heart of Walsall where you will work with an experienced team of professionals who support the local community with support projects.

Wage:

  • £12,480 for your first year, then could increase depending on your age
  • National Minimum Wage rate for apprentices

Training Course: Administration assistant (level 2)
Hours: Monday to Friday - with half an hour lunch - hours to be confirmed. 30 hours a week
Start Date: Monday 26 October 2026
Duration: 1 year

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

Roles and Responsibilities

Reception and Communication:

  • Provide a polite, efficient reception service for the organisation
  • Direct incoming calls, respond to general telephone enquiries, and take messages
  • Ensure reception literature is relevant, up to date, and appropriately displayed

Administration and Office Support:

  • Provide administrative and clerical support to WBSC and its projects
  • Maintain effective information systems, including database
  • Create and update filing systems
  • Use photocopying, IT, fax, and other office equipment; carry out routine user maintenance and report faults when needed.

Meetings and Governance Support:

  • Support staff meetings and take minutes when required
  • Work with the Chair to prepare and circulate meeting agendas
  • Send out Board papers and supporting documents to members in advance
  • Confirm meeting dates, times, and arrangements
  • Attend Board and relevant committee meetings, as required
  • Record clear, accurate, and impartial minutes, including key discussions, decisions, agreed actions, and responsible persons
  • Maintain an organised archive of minutes, agendas, and Board papers
  • Store documents securely and keep them accessible for audit, regulatory, and governance purposes.

Other:

  • Assist in ensuring that confidentiality is maintained in dealing with all information and materials and that information is treated in accordance with requirements of the Data Protection Act
  • Undertake and participate in any relevant training
  • Take part in regular team meetings and supervision sessions
  • Work within policies and procedures paying particular attention to the Equal Opportunities, Child Protection and Health and Safety Regulation
  • Carry out any other duties and responsibilities within the scope, purpose, and grade of the job

What You'll Learn

  • Receive, retrieve, process, record, and store information and data.
  • Operate within organisational policies, standards, and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
  • Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
  • Handle and communicate information in line with organisational policies, procedures, and security requirements.
  • Recognise and rectify issues and escalate as required. For example, stakeholder documents and reports, safeguarding concerns, or abusive behaviour.
  • Plan and review administration tasks allocated by supervisor.
  • Maintain professional relationships with stakeholders.
  • Monitor and report on the use of resources such as materials, equipment, and supplies.
  • Use agreed organisational systems and protocols to manage calendars, diaries, and booking systems.
  • Source information as requested by stakeholders, ensuring they are shareable. For example, client records, signpost to services, or reports.
  • Use continuing professional development including self-reflection to support current and future training and development needs.
  • Use communication tools to respond to stakeholders using professional language and organisational etiquette.
  • Operate within agreed health and safety standards.
  • Use time management tools to meet deadlines.
  • Handle feedback following expected professional etiquette.
  • Maintain wellbeing, accessing organisational support mechanisms if required.
  • Review and check own work.
  • Use cloud services to share documents for use and/or collaboration.
  • Protect against security threats for example, strong passwords, two-step verification, office tailgating, and display of security passes or clothing that identifies secure workplaces.
  • Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

Essential Qualifications:

  • GCSE in: English (grade C/4 or above)
  • GCSE in: Maths (grade C/4 or above)

Our organisation was born out of the racially motivated tensions and uprisings that took place across the country in the late 80s in response to severe racial discrimination that was being placed upon black and other non-white ethnicities.
