We’re recruiting for a growing commercial HVAC and M&E engineering business looking to add an experienced Administration Assistant to its team.
This is a varied position where you’ll support the day-to-day operation of the business, working closely with engineers, management, customers and suppliers. The position is predominantly home-based, with occasional office days, and both full-time and part-time arrangements will be considered.

- Coordinating engineers' diaries, site visits and workloads
- Raising, updating and tracking jobs through Joblogic
- Following jobs through from initial instruction to completion
- Liaising with customers, engineers, suppliers and subcontractors
- Preparing quotations, reports and general documentation
- Maintaining site, asset, contract and PPM records
- Supporting invoicing, purchase orders and supplier invoices using Xero
- Assisting with job-cost reconciliation and credit control
- Maintaining compliance documentation and engineer records
- Handling incoming calls and emails and providing wider administrative support
What We're Looking For
You’ll need previous administrative experience within a busy working environment, alongside good organisational skills, attention to detail and confidence using Microsoft Word, Excel and Outlook.

You should be comfortable managing several priorities at once, communicating with different people throughout the day and working independently from home.
Experience with Joblogic and/or Xero would be advantageous but isn't essential.
Experience within facilities management, HVAC, air conditioning, mechanical engineering, building services or another field-service environment would also be particularly relevant, especially if you've previously coordinated engineers or subcontractors.
