Administration Assistant

Location: Bank St, Canary Wharf

Contract Length: 6 months


Are you an organised and detail-oriented professional looking for your next challenge? We are seeking an Administration Assistant to join our team in Canary Wharf. This role offers a hybrid working arrangement, with a 50/50 split between office and remote work (typically three days in the office). Flexible hours are available, including 8-4 or 9-5.


About the Role

As an Administration Assistant, you will work alongside another part-time admin assistant to provide essential support to the Banking Services team. Your responsibilities will include managing shared inboxes, circulating documentation, collecting data and statistics, maintaining trackers, and supporting recurring control processes. You will also assist with document preparation, reconciliation tasks, and ensuring compliance with wet-ink signature requirements.

This is a dynamic role that requires strong organisational skills and attention to detail to ensure smooth day-to-day operations within the team.


Key Responsibilities

  • Monitor and manage shared mailboxes, logging and routing queries appropriately.
  • Maintain trackers, records, filing structures, and administrative information accurately.
  • Support routine team coordination activities such as meeting logistics, document collation, action follow-ups, and information gathering.
  • Assist with invoice tracking, SAP/Swift extraction, matching, and reconciliation tasks.
  • Prepare and save relevant documents while maintaining clear records of completed actions and outstanding items.
  • Liaise with internal stakeholders to clarify requests and follow up on outstanding actions.
  • Provide administrative cover during leave periods or peak workloads.

What We're Looking For

  • Discreet and professional when handling confidential information.

Skills & Experience Required

  • Strong organisational and administrative skills with the ability to follow agreed processes.
  • Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint).
  • Fluent English communication skills (written and oral).
  • Experience supporting inboxes, operational administration, invoices, reconciliations, SAP/Swift systems (desirable but not essential).
