We have a fantastic opportunity to join our Student Support department as an Administrative Assistant.

The Administrative Assistant will be responsible for providing and facilitating efficient and effective administrative operations and will provide essential support to all areas within the Student Support department.

You will work closely with teams across the Student Support department to efficiently manage administrative tasks, streamline operations, and provide comprehensive support for Safeguarding and Student Funding requirements.

Responsibilities Include

  • Provide comprehensive administrative support to the Student Support Department. This will include the answering of queries to Student Support teams by telephone, email, in person and in a timely manner.
  • Ensuring Student Support are compliant in recording of Criminal Convictions and information relating to student vulnerabilities including Children In Care.
  • Managing the reporting and recording systems across the department as necessary to ensure that data is accurately recorded, maintained and made available for stakeholders as necessary, ensuring compliance with GDPR and confidentiality procedures.
  • Assist students by providing information about the Student Support offer at Bradford College and Signposting to external support agencies.
  • Maintaining the Student Support web pages to ensure they are accurate and up to date reflecting the current offer to students.
  • Manage office supplies, equipment, facilities.
  • Assist in organising and coordinating Student Support events and workshops, including the scheduling and communication with visitors
  • Ensure all Department processes and procedures are followed
  • To communicate effectively with all external stakeholders and provide accurate information
  • Liaising with internal stakeholders including academic staff so that they have accurate, detailed information for any Student Support activity and administrative tasks
  • To maintain confidential data and undertake tasks relating to the effective management and storage of paper and electronic documentation.
  • To carry out data input, prepare reports, and carry out administrative work efficiently with a high level of accuracy.
  • To carry out all administrative duties related to meetings as required.
  • Work under own initiative, prioritise own workload, and take decisions concerning established practices, referring only problems of a non-routine nature

Education & Training

  • GCSE 4 – 9 or equivalent level 2 qualification in Maths or be prepared to pass a test before the interview to demonstrate level 2 ability and then if appointed achieve within an agreed timescale

Experience

  • Experience of providing administrative support within a diverse organisation.
