The Opportunity

We're looking for an Administration Coordinator to become a key part of our Swanbank team. This role is about much more than administration, you'll be the person who keeps things moving, connects people, ensures information flows efficiently and helps our teams operate at their best.

While administration experience is important, we're ultimately looking for someone with the right attitude, curiosity, energy and cultural fit who wants to learn and grow with us.

What You'll Do

Reporting to the Regional Business Manager, you'll provide critical support across our Sales and Operations teams, including:

  • Preparing reports and ensuring a high level of accuracy in data management and administration
  • Coordinating state meetings, team events and key business activities
  • Supporting sales teams with administrative and operational processes
  • Raising purchase orders and customer credits
  • Managing stakeholder requests and following up to gather information from multiple teams
  • Supporting fleet administration and vehicle inspection coordination
  • Assisting with WHS administration and maintaining key records
  • Supporting POS management and distribution activities
  • Identifying opportunities to improve processes and ways of working

Ingredients For Success

We're looking for someone who enjoys being organised, solving problems and building relationships.

You'll Ideally Have

  • Previous administration, coordination or business support experience
  • Strong Excel skills and confidence working with data
  • Experience creating presentations and PowerPoint decks
  • Excellent attention to detail and a commitment to accuracy
  • Strong communication and stakeholder management skills
  • The confidence to follow up and chase information to meet deadlines
  • A curious mindset and ability to quickly learn new systems and processes
  • The ability to multitask and prioritise in a fast-paced environment
  • A proactive, positive and team-focused approach

Experience with SAP is beneficial but not essential. We can teach systems. What we're really looking for is someone who is technologically savvy, curious, bubbly and eager to learn and contribute.
