About The Role

Balfour Beatty is looking for an organised and proactive Office Manager to join our team based in Stornoway, Isle of Lewis.

This is a key administration and support role, providing secretarial and office management support to the project team. You’ll play an important part in ensuring the smooth and efficient running of the office, supporting colleagues across the team and helping to maintain a professional, compliant and well-managed working environment.

The successful candidate will be responsible for managing office facilities, supporting administrative resources and helping the team operate effectively day to day. This is a great opportunity for someone who enjoys variety, takes pride in keeping things running smoothly and can build strong working relationships across all levels of the business.

What you'll be doing

As Office Manager, you’ll be responsible for developing and managing office processes and systems to support the efficient running of the office.

Your Duties Will Include

  • Providing secretarial and administrative support to the Project Director and wider project leadership team where required
  • Managing administrators and allocating support across teams in line with workload requirements
  • Ensuring appropriate office cover is in place at all times
  • Making sure invoices are properly authorised and processed in a timely manner
  • Ensuring the office remains compliant with security protocols and Health and Safety requirements
  • Maintaining office supplies and ensuring they are replenished when needed
  • Checking office equipment is working effectively and arranging repairs where required
  • Monitoring the quality of services provided by external suppliers, contractors and third parties
  • Working with Procurement to secure best value while following company procurement processes
  • Ensuring statutory and communication notices are displayed and kept up to date
  • Supporting the local Business Continuity Manager with the preparation, testing and delivery of business continuity plans
  • Living the Balfour Beatty values and supporting a strong focus on Zero Harm
  • Supporting the delivery of sustainability activities across the business

Who we're looking for

We’re looking for someone with experience of managing a busy office environment and supporting or managing a team.

You’ll be highly organised, confident working on your own initiative and able to prioritise both your own workload and the work of others. You’ll also be comfortable allocating tasks, checking work and ensuring deadlines are met.

The Ideal Candidate Will Have

  • Experience in office management and team coordination
  • Strong organisational skills with the ability to manage competing priorities
  • Confidence communicating with colleagues at all levels
  • Excellent relationship-building and teamwork skills
  • The ability to work well under pressure and to tight deadlines
  • A strong customer focus and professional approach
  • Excellent typing and IT skills, including Microsoft Office, particularly Excel, Word and PowerPoint
  • A proactive, flexible and solutions-focused mindset
