Our Be Smoke Free Manchester Service is a vibrant, collaborative team, comprising a dedicated lineup that includes a nurse manager, compassionate nurses, empathetic advisors and efficient administrators.
An exciting opportunity has arisen for a Administration Team Leader to join our team in Manchester. In this role, you will be a vital part of the team. You’ll work closely alongside our team to support our new and existing service users, answering phone calls, managing our email inbox, processing referrals, and monitoring our social media channels.
Where: Manchester
Hours: 37.5 per week (full time)
Contract Type: Fixed Term Contract until April 2nd, 2027
Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and payments will be pro rata based on contracted hours.
Responsibilities
About the Position:
In this role, your primary responsibilities include:
- Work closely with the Management Team to ensure that the administration, IT and telecommunication systems operate in an effective and efficient manner.
- Develop and nurture sound relationships with both Change Grow Live Business Support and external office and equipment suppliers.
- Provide advice, information and reports clearly and concisely via the most appropriate channel, whilst being sensitive to the needs of the audience.
- Maintain accurate and comprehensive records / data collection on clients, as required by Public health and Change Grow Live performance frameworks and reporting requirements.
- Manage an electronic filing system to ensure that client data and information are kept in an orderly and accessible manner (CRIIS, Quit Manager or equivalent system).
- Be the main port of call for all administration relating matters as well as undertake regular and ad hoc requests from the Nurse Manager, Project Manager, Data Manager, and other Change Grow Live Senior Management.
- Be a supportive line manager to our team of Admin Staff.

About You:
To excel in this role, you should possess:
- Experience of and ability to lead, inspire and develop a team.
- IT literacy and experience of using data management systems including proficiency in word processing, data entry, maintaining databases and familiarity with Outlook, Word, Excel, Microsoft Teams, Zoom.
- A clear understanding of data protection, information sharing and confidentiality issues.
- The ability to prioritise and have good time management skills.
- Good interpersonal skills and a willingness to work flexibly as part of a team.
- Knowledge of Health and Safety requirements and procedures.
- Qualification in office/data administration (desirable but not essential)
