Job Overview

The post holder will provide efficient, effective, and flexible administrative and administrative support across the Women's Health Service. Working as part of the multidisciplinary team, the role will support the delivery of high-quality patient care by undertaking a wide range of administrative duties and providing cross-cover across Women's Health services as required.

The post holder will work across a variety of outpatient and inpatient areas, including Antenatal Clinic, Colposcopy, Hysteroscopy, Rapid Access Gynaecology Clinics, Early Pregnancy Unit (EPU), Antenatal/postnatal Wards, and other Women's Health services. The role will involve providing reception cover, managing patient appointments, maintaining accurate records, processing referrals, handling telephone enquiries, and supporting the day-to-day operational running of the service.

The post holder will be expected to work flexibly to provide administrative support where service demand requires, ensuring continuity of service during periods of annual leave, sickness absence, vacancies, and peak activity. They will act as a first point of contact for patients, relatives, and healthcare professionals, providing a professional, courteous, and sensitive service at all times.

Main duties of the job

Key Responsibilities Include

• Providing reception and administrative support across all Women's Health services.
• Booking, cancelling, and rescheduling patient appointments using Trust systems.
• Managing patient records and ensuring information is accurately entered onto electronic systems (Alex Health/Somerset/Infoflex etc).
• Processing referrals, clinic outcomes, correspondence, and scanning documentation.
• Handling telephone and face-to-face enquiries from patients, relatives, and healthcare professionals.
• Supporting Antenatal, Colposcopy, Hysteroscopy, Rapid Access Gynaecology, Early Pregnancy Unit, and antenatal/postnatal Ward services.
• Assisting with clinic preparation, appointment management, and patient pathway administration.
• Maintaining confidentiality and complying with Trust policies, procedures, and information governance requirements.
• Providing cross-cover and administrative support throughout Women's Health Services as required to maintain safe and effective service delivery.
