Role Description
We are seeking a highly organized, proactive, and reliable Administrative Assistant to support the operations team and senior management team in the day-to-day running of our firm. This is a key role that requires exceptional attention to detail, discretion when handling sensitive information, and the ability to take initiative in a fast-paced, professional environment.
This role is offered on a full-time basis (40 hours P/W) on-site in our City of London office.
Key Responsibilities
- Provide direct administrative and operational support to the operations team and managerial team.
- Manage and process invoices, expenses, and general office payments.
- Oversee day-to-day office operations, ensuring smooth logistical coordination.
- Schedule and coordinate meetings, both internal and external, including handling confidential matters with professionalism.
- Anticipate the needs of the operations and management teams, acting as their right-hand person in ensuring smooth execution of all firm initiatives.
- Assist with onboarding and supporting new team members.
- Contribute to ongoing process improvements across office and administrative systems.

Qualifications and Experience

- Prior executive assistant or administrative experience is essential.
- Experience working in a law firm or professional services environment is highly desirable.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Comfortable managing competing priorities and working independently.
- Proficiency with common office software (Microsoft Office, Google Workspace, etc.).
- Fluency in Russian is desirable.
