Chair Capital, Kingsbridge, Devon

Permanent, part-time, 21 hours per week. Hybrid. £14,500 to £16,500 depending on experience, equivalent to £24,000 to £27,000 on a full-time basis.

The firm

Chair Capital is a specialist investment firm operating across energy transition, data centres, AI, and MedTech. The firm deploys £10M to £100M+ as principal capital alongside a structured advisory engagement. The investment process is run in-house, which means the holder of this role sees transactions end to end and works directly with the senior members of the firm.

The role

The Administrative Assistant is responsible for the administration that sits behind the firm's investment and advisory activity. The role covers four areas: meeting administration, inbox and correspondence management, contract administration, and finance administration including credit control. The work is administrative in nature and the holder of the role is not expected to carry out investment analysis.

  • Meeting administration comprises scheduling across counterparties, advisers and portfolio companies, preparation and circulation of agendas and papers, minute taking, and follow-up on outstanding actions.
  • Inbox and correspondence management comprises triage of the firm's shared inboxes, drafting of routine correspondence, filing against the relevant company or transaction record, and maintenance of contact and pipeline records.
  • Contract administration comprises maintenance of the contract register, circulation of documents for signature, tracking of execution status, administration of non-disclosure agreements, and diarising of key contractual dates.
  • Finance administration comprises raising and issuing invoices, credit control including the monitoring of aged debtors and the chasing of overdue payments, reconciliation of receipts and payments, processing of supplier invoices and expenses, and liaison with the firm's accountants.

The role also includes assistance with the preparation of the firm's analysis documents. Full training is provided and no prior experience of investment work is required. This element is administrative support to the investment process rather than analytical work.

Requirements

Essential:

  • Administrative experience in a professional environment, with evidence of managing a varied workload without supervision
  • Accuracy and attention to detail, particularly in handling contractual documents and financial records
  • Confident working knowledge of Outlook, Word and Excel
  • Willingness to chase people, politely and persistently, for signatures, responses and payment
  • Discretion in handling confidential and market-sensitive information
  • Clear written English suitable for correspondence issued on the firm's behalf

Working arrangements

The hours are not fixed to particular days or times. They are worked at the individual's discretion at any point within UK business hours, Monday to Friday.

Terms

  • Permanent, part-time
  • Four-month probationary period, extendable by one further month at the firm's discretion
  • Discretionary bonus, reviewed annually
  • The scope of the role is reviewed twelve months after the start date, at which point it may be developed towards an executive assistant, office management or finance administration position
