Responsibilities
- Coordinate team calendars, arrange meetings, and circulate agendas and follow-up notes
- Maintain shared documents, contact lists, and administrative trackers with accurate, consistent information
- Prepare routine correspondence, format documents, and organise materials for internal meetings
- Track administrative requests, clarify priorities with colleagues, and follow up on outstanding actions
- Check records for completeness, identify discrepancies, and route questions to the appropriate colleague
- Document recurring administrative procedures and suggest practical improvements to organisation and handoffs

Qualification
Required
- Entry-level candidates are welcome; relevant experience can come from coursework, volunteering, internships, or personal projects
- Clear written and verbal communication in English and careful attention to detail
- Comfort using email, calendars, word-processing tools, and spreadsheets
- Ability to organise several tasks, ask clarifying questions, and follow through on agreed deadlines in a remote team
- Careful handling of confidential information and sound judgement about when to escalate an issue

Preferred
- Experience supporting a student organisation, community group, office, or project team
- Familiarity with shared document systems and basic spreadsheet sorting and filtering
- Interest in improving routine administrative processes and documenting repeatable tasks
