Location: APM Cleaning & Repair Ltd, B2 Kingfisher House, Kingsway North, Gateshead, NE11 0JQ

Hours: 37.5 hours per week, Monday to Friday, 9:00 am to 5:00 pm, with a 30-minute unpaid lunch break

Pay: £13.45 per hour, approximately £26,227.50 per annum based on 37.5 hours per week

Contract: Permanent

Holiday entitlement: 28 days per annum, including bank holidays.

Job summary

APM Cleaning & Repair Ltd is seeking a proactive and organised Administration Assistant to join our head office team in Gateshead. This is a permanent position providing administrative support to our regional Contract Managers and existing administration team. The successful candidate will help ensure the effective delivery of administrative services across our cleaning and facilities contracts.

Key responsibilities

  • Provide day-to-day administrative support to Contract Managers.
  • Use the company’s CRM and scheduling system, BigChange, to maintain accurate operational records.
  • Manage client communications by email and telephone, providing a professional and responsive service.
  • Prepare and maintain client performance reports, timesheets and contract documentation.
  • Support employee onboarding, including creating identification badges, assisting with training modules and verifying documents.
  • Order and manage stock, equipment and supplies for client contracts.
  • Maintain accurate electronic records and ensure documents are stored in the appropriate locations.
  • Handle employee, operational and client information confidentially.
  • Occasionally accompany Contract Managers to client sites to support training delivery and site audits.
  • Carry out other reasonable administrative duties appropriate to the role.

Required skills and experience

  • Previous experience in an administrative or office-based role.
  • Strong IT skills, including Microsoft Excel, Word and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organisational and time-management abilities.
  • Ability to manage competing priorities and meet deadlines.
  • Ability to work independently and as part of a team.
  • A high level of accuracy and attention to detail.
  • A proactive and practical approach to problem-solving.

Desirable skills and experience

  • Previous experience using a CRM, scheduling or job-management system.
  • Experience supporting field-based or operational teams.
  • Experience preparing reports and maintaining contract documentation.
