About the opportunity
Our client is a growing London-based consulting firm working with organisations globally on complex data privacy, compliance and technology challenges.
We are looking for an Administrative Assistant to help keep the business organised and running smoothly. This is a broad role covering administration, coordination and operational support, with regular interaction with senior leadership as well as colleagues across the wider business.
You will be based 2 days per week in their London office, with the remainder working remotely.
This isn't a role where you will be doing one repetitive administrative task all day. You will have visibility across the business and will help coordinate everything from meetings and onboarding to documents, suppliers, office administration and finance-related processes.
The role would suit someone who is organised, dependable and comfortable taking responsibility for making sure things happen.
Your responsibilities
- Provide day-to-day administrative support to senior leadership and the wider team
- Keep company records, shared folders, mailboxes and administrative systems organised and up to date
- Coordinate onboarding and offboarding activities, including documentation, system access and internal communications
- Support client administration, including contracts, documentation, timesheets, invoices and related coordination
- Assist with finance administration such as expenses, reimbursements, invoices and information required by external accountants
- Help manage relationships and communications with suppliers, vendors and external service providers
- Support the day-to-day running of the London office
- Assist with recruitment administration, including interview scheduling and candidate communications
- Help maintain internal policies, processes and administrative records
- Take on ad hoc projects and tasks as the needs of the business change
- Follow up with colleagues and external contacts to make sure actions and deadlines are completed

In practice, you will help create the structure that allows the rest of the business to operate efficiently. You will work across different teams and with senior leadership, often coordinating information or people between several different areas of the business.
What you'll bring
- Previous experience in an administrative, coordination, office or operations support role
- Strong organisational skills and excellent attention to detail
- Ability to manage several tasks and priorities at the same time
- Clear and professional written and verbal communication skills
- Good judgement and discretion when handling confidential information
- Confident using Microsoft Office and other digital tools
- Comfortable learning new systems and processes
- Reliable, proactive and able to work independently
- Right to work in the UK
