What are we hiring for?
We are seeking an Administration Assistant to join our team in Aztec West to support with providing administrative and coordination support as part of the centralised administration function that is being built out. This will help ensure the smooth delivery of a proactive and operational centralised administration function to all UK sites.
What will you be doing?
As part of a centralised administration team, this role provides a broad range of administrative, office management and business support services across multiple functions. The successful candidate will demonstrate strong organisational skills, attention to detail, discretion and a proactive approach to supporting colleagues and business operations.
Key responsibilities include:
- Providing day-to-day administrative support to internal teams and stakeholders.
- Managing a shared administration inbox, responding to queries and providing first-line support, ensuring timely escalation where appropriate.
- Managing Reception with the wider administration team, including welcoming visitors and clients, ensuring a professional and positive experience.
- Coordinating internal events, meetings, conferences and training sessions, including logistics, scheduling and attendee communications.
- Supporting office management activities, including maintaining stock levels, ordering supplies, coordinating the distribution of equipment and materials and supporting day-to-day office operations.
- Raising purchase requests and processing goods received receipts in line with company procedures and service level expectations.
- Preparing and formatting correspondence, reports, presentations, meeting materials and other business documents.
- Maintaining accurate records, data and documentation, ensuring information is complete, up to date and stored in accordance with processes.
- Supporting data integrity and reporting activities through accurate record keeping, maintenance of records and timely updates to relevant systems.
- Assisting with a variety of ad-hoc administrative tasks, projects and business initiatives.
- Identifying opportunities to improve administrative processes and contribute to the development of the centralised administration function.
- Delivery of timely, accurate and professional administrative support to internal stakeholders across the business.
- Successful coordination of meetings, training sessions, events and conferences, ensuring all logistical requirements are met.
- Production of high-quality business documents, correspondence, reports and presentations to agreed standards and deadlines.
- Professional support of visitors, clients and colleagues, creating a positive experience and maintaining company standards.
- Strong collaboration with colleagues across functions, helping to build and maintain an efficient and customer focused centralised administration service.

This role offers exposure to a wide variety of activities and provides an excellent opportunity to develop administrative, organisational and stakeholder management skills within a collaborative team environment.
These outputs will be measured through accuracy, timeliness, stakeholder satisfaction, adherence to processes, and contribution to the effectiveness of the centralised administration function.
What are we looking for?
- GCSEs (or equivalent) in English and Maths.
- Previous experience in an administrative, office support, customer service or reception-based role.
- Good working knowledge of Microsoft Office applications.
- Strong organisational skills and attention to detail.
- Professional and confident communication skills, both written and verbal.
- Ability to manage competing priorities and meet deadlines.
- Comfortable working collaboratively with a range of stakeholders.
- Customer-focused approach with a willingness to support others.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Proactive, adaptable and willing to undertake a variety of tasks.
- Positive attitude, strong work ethic and commitment to continuous learning and development.
- Willingness to learn new systems, processes and ways of working.
- Organised, reliable and eager to learn, with a positive attitude towards working in a varied role supporting multiple teams.
- Level 2 or Level 3 Business Administration qualification (or equivalent).
- Additional training in customer service or business administration.
