Role Description

This is an administrative assistant role supporting the senior leaders across our Operational teams in London. The successful candidate will provide administrative support to the senior managers and have the opportunity to coordinate and support various projects and team initiatives.

Key Role Responsibilities

  • Support for MD and Principal level managers across our Finance, Operations, Middle Office and HR teams in London and Dublin
  • Manage calendars and schedule meetings across multiple time zones
  • Process and reconcile all invoices and expenses
  • Organize travel arrangements via Concur ensuring in line with the Firm’s travel policy
  • Plan and coordinate team events and outings and proactively identify opportunities for connectivity with other teams; particularly when teams are travelling
  • Assist with projects, initiatives, programs, research and data analytics specific to the abovementioned teams
  • Create and distribute meeting agendas, materials and minutes; following up on the status of action items when appropriate
  • Seek opportunities to add value to the team such as creating diary efficiency and project management
  • Provide holiday coverage for other assistants when required

Ideal Candidate Qualification

  • Strong MS Office skills - Word, Excel, PowerPoint, Outlook
  • Excellent attention to detail and accuracy
  • Excellent calendar management, organization and prioritization skills
  • Ability to multi-task and maintain a sense of urgency; particularly when managers are travelling
  • Discreet nature and an appreciation for handling confidential information
  • Excellent written and verbal communication skills
  • A proven team player who enjoys interacting with different stakeholders
  • A self-starter with a “can-do” attitude and an ability to work autonomously
  • Experience working in a fast-paced environment
