Job Title: Administrative Assistant
Job Description
The Administrative Assistant provides high-quality administrative and office support across multiple locations and executive functions. This role serves as a key point of contact for visitors and callers, supports daily office operations, coordinates meetings and travel, and assists with special projects. The position requires strong organizational skills, professionalism, and the ability to manage multiple priorities while supporting site leadership and cross-functional teams.
Responsibilities
- Carry out administrative duties such as filing, typing, copying, and scanning.
- Assist with scheduling meetings and arranging reservations or lunch orders.
- Prepare mail and packages for delivery and manage incoming mail.
- Answer phone calls, schedule meetings, and support visitors.
- Oversee badge management for the site.
- Make travel arrangements such as booking flights, cars, and hotel or restaurant reservations.
- Exhibit polite and professional communication via phone, email, and mail.
- Provide information by answering questions and fulfilling requests from internal and external constituents.
- Maintain supplies inventory by checking stock levels and placing orders for necessary items.
- Support location site leadership as needed.
- Contribute to team efforts by accomplishing related tasks as needed.
Essential Skills
- Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Office 365.
- Ability to learn new software programs (USPS, FedEx, ERP, etc.).
- Strong verbal and written communication skills.
- Experience in coordinating travel arrangements and utilizing expense reimbursement software.
- Exceptional attention to detail and professionalism.
- Proficiency in office operations and administrative best practices.
- Ability to manage multiple tasks and competing priorities in a fast-paced environment.
- Demonstrated ability to work independently with minimal supervision.

Work Environment
The work environment includes an office space at the receptionist desk, with standard hours from Monday to Friday, 8 AM to 5 PM. The culture is welcoming, encouraging growth and development.
Job Type & Location
This is a Contract to Hire position based out of Lancaster, PA.
Pay and Benefits
The pay range for this position is $20.00 - $21.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
