Administrative Assistant

Location: Bridge of Don, Aberdeen (Office Based)
Job Type: Full Time, 37.5 Hours per Week
Salary: ยฃ28,275 per annum (ยฃ14.50 per hour)

About the Role

We are looking for an Administrative Assistant to support the day-to-day operations of Spectis Robotics and Hydropulsion.

Spectis Robotics and Hydropulsion operate across a range of technical and industrial sectors, providing specialist equipment, engineering services and inspection solutions.

Working alongside and reporting to the Office Administrator, the successful candidate will provide support across both businesses, assisting with a range of administrative, operational and business activities.

While the role includes core office and administration responsibilities, there will also be opportunities to become involved in marketing activities, content creation, customer support and other areas of the business.

This position is suited to someone who is keen to learn, takes initiative and wants to develop their skills within a growing company. We are looking for an individual who wants to contribute to the wider success of the business and become a valued member of the team.

Salary & Package

  • ยฃ28,275 per annum (ยฃ14.50 per hour)
  • 30 days annual leave per year (including public holidays)
  • Company pension scheme with a 5% employer contribution
  • Private healthcare

Key Responsibilities

  • Answer telephone calls and direct enquiries appropriately.
  • Welcome visitors and manage incoming and outgoing mail.
  • Raise purchase orders and goods receipts.
  • Assist with administration of supplier accounts and purchasing records.
  • Scan, file and maintain company documentation and project records.
  • Prepare and maintain contract review documentation to support company procedures and compliance requirements.
  • Arrange incoming and outgoing freight shipments and associated paperwork.
  • Assist with import and export documentation and HMRC requirements.
  • Maintain and update company management system documentation.
  • Support compliance activities, audits and record keeping.
  • Maintain company registers and controlled documents.
  • Order office supplies, PPE, clothing and general company requirements.
  • Support customer administration and communication activities.
  • Assist with social media activity and marketing initiatives.
  • Support the creation and publication of video content for YouTube and other digital channels.
  • Assist with event preparation, exhibitions and promotional activities.
  • Provide administrative support to other departments as required.
  • Undertake any other reasonable duties required by the business.

What We're Looking For

  • Previous administration or office support experience.
  • Strong organisational and administrative skills.
  • Good working knowledge of Microsoft Office applications.
  • Experience using Sage is desirable but not essential, as training will be provided.
  • Experience with social media platforms, photography, video editing or content creation would be advantageous.
  • Excellent attention to detail and accuracy.
  • Good written and verbal communication skills.
  • Professional approach to attendance, punctuality and personal presentation.
  • Ability to prioritise workload and manage multiple tasks effectively.
  • Comfortable working within a small and growing business.
  • Ability to maintain confidentiality and handle information professionally.
  • Full UK driving licence desirable but not essential.
