Administrative Assistant / Receptionist

Location: Battersea Reach, London

Salary: £30-35,000 per annum

Hours: Full-time, Monday to Friday, 9:00 AM – 5:30 PM

About Us

We are a boutique property and land auction house based in Battersea, London, specialising in both commercial and residential property sales. Through our online auction platform, we facilitate fast and efficient pre- and post-auction transactions.

As our business continues to grow, we are looking for an enthusiastic, highly organised and personable Administrative Assistant to join our dynamic and growing team.

This is a varied and hands-on role, combining office administration, client-facing reception duties, auction day support and marketing coordination. The successful candidate will be an important part of the day-to-day running of our London auction centre and will act as a welcoming and professional first point of contact for clients, buyers, sellers, agents and visitors.

Key Responsibilities

London Auction Centre & Reception

  • Act as the professional and welcoming face of our London auction centre, creating a positive first impression for clients, buyers, sellers, agents and visitors.
  • Manage the reception area and act as the first point of contact for all visitors to the office.
  • Welcome and assist clients and visitors, ensuring they are directed to the appropriate member of the team.
  • Answer and manage incoming telephone calls in a professional and personable manner.
  • Manage general enquiries received by phone, email and in person, escalating matters to the relevant team member where appropriate.
  • Coordinate auctions and assist with the smooth running of auction day.
  • Maintain a professional, organised and presentable reception and office environment at all times.
  • Receive and distribute post, packages and deliveries.
  • Liaise with couriers, suppliers, contractors and other external contacts as required.

Office Administration

  • Work closely with the Director and her Executive Assistant to support the smooth running of day-to-day office operations.
  • Manage internal and external correspondence, including phone calls, emails, letters and packages.
  • Perform general administrative and data-entry tasks, including maintaining accurate property records and internal databases.
  • Oversee office supplies and ensure the office is well stocked and operational.
  • Assist the sales team with a variety of administrative tasks as required.
  • Help coordinate auctions, meetings and other office activities.

Auction Administration

  • Assist with the preparation and administration of our weekly property auctions.
  • Upload property stock to our website and ensure all property details, photographs and supporting information are accurate and up to date.
  • Maintain accurate records of online bidders and update internal databases.
  • Assist with the administration of pre- and post-auction sales and transactions.
  • Liaise with the sales team and other departments to ensure property information is accurate and auction deadlines are met.

The Ideal Candidate

We are looking for someone who is:

  • Highly organised with excellent attention to detail.
  • Confident, personable and professional, with a natural ability to make clients and visitors feel welcome.
  • Comfortable acting as the first point of contact for a busy London office.
  • An excellent communicator, both verbally and in writing.
  • Able to manage multiple tasks and prioritise effectively in a fast-paced environment.
  • Proactive, reliable and able to work independently as well as part of a team.
  • Confident using Microsoft Office, and Canva is a must!
  • Interested in property, auctions and/or marketing, although previous property experience is not essential.
  • Presentable and professional, with a strong customer-service mindset.
