Administrative Assistant – Operations Support (Contract)

Location: Aberdeen, UK

Contract Duration: Approximately 6 months

Work Type: Onsite

We are currently looking for a highly organised Administrative Assistant to support a busy Operations team within a global engineering and industrial services environment.

This is an excellent opportunity for an administrator who enjoys working in a fast-paced environment, managing multiple priorities, and supporting operational teams with documentation, reporting, supplier coordination, and project administration.

Key Responsibilities

  • Provide day-to-day administrative support to the Operations team.
  • Maintain tracking spreadsheets for equipment and personnel costs.
  • Create purchase requisitions and maintain accurate operational records.
  • Support equipment mobilisation and demobilisation activities.
  • Assist with pre-job and post-job administration, ensuring documentation is complete and accurately filed.
  • Maintain project trackers and update operational plans throughout the year.
  • Liaise with suppliers to obtain competitive pricing for third-party equipment and services.
  • Create and maintain reports, spreadsheets, and departmental documentation.
  • Support cross-functional teams during periods of holiday or sickness cover.
  • Ensure accurate record keeping while maintaining compliance with company procedures.

Required Skills & Experience

  • Previous experience in an Administrative Assistant, Operations Administrator, Project Administrator, or Office Administrator role.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • High attention to detail with excellent record-keeping abilities.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Experience using CRM or business systems is beneficial.
  • Experience with Oracle, Maximo, or similar ERP systems would be an advantage.
