About the Opportunity

A world-renowned food and beverage company is looking for an experienced Administrative Assistant to provide high-level support to a senior leader within their Supply Technology function based in Glasgow.

This is a 6-month initial contract opportunity and a fantastic chance for someone who enjoys working closely with senior leadership, is highly organised, and thrives in a fast-paced, international environment.

The Role

You’ll provide day-to-day administrative and coordination support to a senior director, helping to ensure their schedule, meetings, travel and wider administrative responsibilities run smoothly.

Key responsibilities will include:

  • Managing a busy and complex diary, coordinating meetings and appointments.
  • Arranging and coordinating domestic and international travel, including itineraries and logistics.
  • Supporting with visitor arrangements and acting as a key point of contact for guests.
  • Setting up meetings, preparing agendas and ensuring relevant materials are available.
  • Preparing presentations, documents and other meeting materials where required.
  • Taking meeting actions and ensuring follow-ups are completed.
  • Processing and managing expenses and supporting with administrative finance processes.
  • Providing general day-to-day administrative and PA support to the senior leadership team.
  • Coordinating across different teams and stakeholders within a large international organisation.
  • Supporting wider team or site coordination activities as required.

About You

We’re looking for someone with around 3+ years of relevant experience, ideally with a strong background in PA, Executive Assistant, Team Coordinator or Site Coordinator roles.

You’ll be:

  • Highly organised with excellent attention to detail.
  • Comfortable supporting senior leadership and managing competing priorities.
  • Confident coordinating across multiple stakeholders and teams.
  • Proactive, reliable and able to anticipate what needs to happen next.
  • Comfortable handling confidential and sensitive information.
  • An excellent communicator with a professional and approachable manner.
  • Comfortable working in a fast-paced, international corporate environment.
  • Experienced with standard Microsoft Office tools and administrative systems.

Experience with SAP Concur or similar expense-management systems would be advantageous, but is not essential.
