MA+ Group is seeking an Admin Assistant to join our New York Beauty Division.

Candidates should be interested in pursuing a career in creative talent agenting or production. This position is one that offers a lot of room for growth. Candidates should have a can-do, positive, problem-solving attitude. An interest in, and knowledge of the fashion & beauty industry and social media is preferred.

Duties Include

  • Coordinate International Travel
  • Arrange flights, hotels, and cars
  • Produce Itineraries
  • Collect and collate receipts
  • Oversee a database of assistants, keeping contact information up to date
  • Manage assistant invoices
  • Generate invoices in a timely manner
  • Coordinate with the accounting department on past due payments
  • Oversee artists’ statements & chargeback expenses
  • Reconcile credit card statements
  • Arrange messengers, order product requests for artists & coordinate deliveries
  • Collect, save, and upload assets for artist archives & agency website
  • Create decks for agents to present to clients and brands

The Ideal Candidate

  • 2 plus years experience working as a producer in an Advertising Agency, Magazine or Production/Artist Agency producing fashion, beauty and still life shoots.
  • Must have digital capability.
  • Knowledge, awareness, personal interest and experience working within the Fashion and Beauty industry.
  • Highly organized multi-tasker; excellent organizational, follow through skills and working in a fast paced environment.
  • Excellent communication skills.
